Job Title: Administrative Assistant

Job Description

responsible for providing comprehensive administrative support to an individual or team, including tasks like answering phone calls, scheduling appointments, managing calendars, maintaining filing systems, preparing correspondence, coordinating meetings, and handling office supplies, ensuring smooth day-to-day operations within an office setting.

Responsibilities

  • Perform data entry tasks, including entering invoices and work orders into the GVMAX system.

  • Oversee global vehicle maintenance contracts for 90 locations.

  • Manage daily entries, handling 150-200 invoices and work orders.

  • Utilize an Excel template and work within a Teams document to process information.

  • Match exceptions and past-due invoices, and communicate with technicians to verify part receipts.

  • Update spreadsheets and notify the disbursements department for payment processing.

Essential Skills

  • High School Diploma required.

  • At least 1-2 years of administrative or office support experience.

  • Proficiency in Microsoft Outlook, Excel, and Word.

  • Excellent verbal and written communication skills.

  • Strong data entry skills with the ability to navigate multiple screens and systems.

  • Attention to detail and the ability to work effectively in a team.

Additional Skills & Qualifications

  • Customer service experience is beneficial.

Pay and Benefits

The pay range for this position is $20.12 - $20.12
