Job Summary and Qualifications

As the Government Relations Administrative Assistant, you will perform diversified clerical/administrative duties for team leaders aiding with internal and external logistics and scheduling. Organization, responsiveness, flexibility, and good interpersonal communication skills are essential.

GENERAL RESPONSIBILITIES:

  • Administrative Support . Perform complex administrative duties, including coordination of meetings and logistics with other corporate assistants. Compose routine correspondence with internal and external contacts.

  • Calendar and Travel Management. Manage multiple Outlook Calendars of team leaders and book travel while managing travel logistics, as needed. Interact with both internal and external executives and assistants, as well as consultants and other external partners. Coordinate a variety of complex executive meetings. Must be able to use best judgment to prioritize time based on greatest need.

  • Time Management . Take initiative in responding to internal and external requests in coordination with team managers; Ability to multi-task and meet changing deadlines.

  • Document Preparation & Management. Document preparation and record management, including processing expense reports and invoices; Handle mail, faxes, printing and copying as needed; Maintain department phone and email distribution lists; Maintain department organizational charts and properly stores sensitive material.

  • Event Coordinating . Plan functions as requested, including negotiation with outside vendors for services. Work with external partners for event planning as needed. Coordinate and schedule meeting and conference call logistics.

  • Communications. Ability to communicate vertically and laterally within the organization with strong interpersonal skills. Interact with leaders, colleagues, vendors, and visitors professionally.

  • Onboarding . Complete all arrangements for new departmental employees (schedules new employee orientation, secures technical assets such as computer and mobile phone, and Code of Conduct sessions, etc.) and assists with ongoing technical and HR needs.

  • Special Projects . Perform special projects and tasks as assigned to support department priorities, utilizing exceptional follow-up skills.

EDUCATION:

  • High school graduate or equivalent required. College graduate preferred.

EXPERIENCE:

  • 3-5 years. Basic knowledge of healthcare and hospital operations preferred
