DEPARTMENT: Nursing Department

POSITION: Rehab Unit Secretary

SUPERVISION: Head Nurse or Charge Nurse

HOURS: Full- time, M-F, Day Shift

PAY RATE: $16.00-$17.00 commensurate with experience

Duties:

Relieve Charge Nurse of clerical duties by answering telephone and to facilitate efficient running of unit.

Maintains charts and compiles charts for new admissions, placing in necessary forms, such as physician's order sheets, nurse progress notes, etc., and record necessary information, such as name of resident, etc.

Assists with transporting residents, as needed.

Assists with all Physician/Physician Assistant, and Podiatrist visits as required by the Charge Nurse. Is to assist with secretarial duties and transporting duties only (example: having charts open for documentation).

Records monthly and weekly weights in the charts within one week. Files monthly lab work, consultations, histories, and MAR sheets in the medical record. Run Optimus report for weekly monthly B/P to assure in EMR.

Records name and vital statistics on flow sheets such as restraint sheets, toileting sheets, etc., and files them away in the appropriate books. (At the end of each month remove previous month's forms and give to the In-service Nurse Aide.)

Updates the back board with all pertinent information including but not limited to census, discharges, admissions, and staff information.

Ensures all faxes to and from facility are sent, picked up, distributed, and filed correctly.

Sets up visits with podiatrist and eye doctor and gets paperwork together for patients seeing them.

Prints off and flags orders for doctors to do their 30/60/90 day review.

Files and organizes all admission information and paperwork including but not limited to, putting together patient chart or receiving original chart if patient has been at the facility prior to, adding patient names to all pertinent spreadsheets and patient boards, tagging necessary charts, binders, and paperwork for nursing and medical staff, starting and updating patient disasters tags as changes are made, and ensuring code status heart and bracelet are available.

Ensures all paperwork is present and ready for discharging patients, including medication lists, discharge paperwork for doctor, and MOLST form. Removes patient names from spreadsheets and boards, and disassembles patient chart after discharge.

Assists with putting together necessary paperwork when patient is being transferred to hospital and calls ambulance to transport patient.

Sets up doctor's appointments and transportation needs for resident needing appointments outside of facility by coordinating with multiple doctors' offices, transportation organizations, Sitrin's transportation department, and ensuring all necessary paperwork and payments are made.

Updates all patient rosters, weight forms, lab and x-ray books, and pharmacy sheets on a daily basis and notifies nursing staff of any irregularities or changes.

Inputs work orders for maintenance into WorxHub on an as needed basis.

Assists in obtaining signatures on resident vouchers after obtaining prior approval from Accounting Department.

Receives and updates staff schedule as needed including doing a staff count for each day and organizing assignment books for shifts.

Delivers and reads mail as requested.

Runs task list report on each patient as directed.

Maintains an accurate inventory of office, lab, and beauty supplies as needed. Stock supplies in the designated areas and keeps all supplies neat and orderly.

Ensures that all file drawers, books, pharmacy, lab, and x-ray forms, etc. are kept full with all necessary copies needed.

Ensures all necessary paperwork is filed as necessary or on a routine basis.

Performs duties according to the highest ethical and moral standards and in adherence with the facility's corporate compliance plan and all applicable governing laws. Adheres to the facility's confidentiality statement in accessing and safeguarding protected health information (PHI) of residents and employees, as necessary to perform job duties.

Performs any other secretarial duties as assigned by Charge Nurse, Supervisor, and Unit Manager.

Job Requirements:

Qualifications:

Possesses verbal, writing, reading, and computer skills necessary to perform duties associated with the position.

Demonstrates effective communication skills.

High school graduate.

Two years experience in clerical work, in a medical facility preferred.
