Metropolitan Human Services District (MHSD) is one of ten Local Governing Entities (LGE) serving persons with Mental Health Disorders, Addictive Disorders and Intellectual/Developmental Disabilities in Louisiana. Legislated by the State and through its Board of Directors, MHSD is responsible for the operation and management of community-based programs and services for the parishes of Orleans, St. Bernard, and Plaquemines.
We are currently hiring for an Administrative Coordinator 3
The incumbent in this position will be responsible for the maintenance, storage, and proc essing of all medical records and EHR data for MHSD. This involves performing a variety of clerical and technical duties associated with the management and oversight of medical records requests including, but not limited to assembling, analysis, release of information, data processing, collection, reconciliation, and preparation of reports in a manner consistent with medical, administrative, ethical, legal and regulatory requirements of a mental health care system. Must be able to work independently and can interact and communicate both verbally and in writing with clients, family members, the public and physicians, and staff.

Minimum Qualifications
MINIMUM QUALIFICATIONS:
Two years of experience or training in clerical work.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

To perform a wide variety of clerical duties that requires independent judgment to accomplish in support of the staff members and/or operations of an organizational unit or program.
Some discretion is required in the performance of these duties. Duties begin to expand in scope and complexity, and develop into departmental-program duties.

Advanced.
Supervision Received:
General from higher-level clerical and/or supervisory personnel.
Supervision Exercised:
May supervise 1-2 lower-level personnel.

Job Distinctions:
Differs from Administrative Coordinator 2 by the presence of responsibility for clerical duties that involve greater scope and complexity, including initial program duties.
Differs from Administrative Coordinator 4 by the absence of paraprofessional duties that involve a higher degree of specialization, complexity, and/or independent judgment.
Examples of Work
60% of the Time
• Demonstrates the MHSD mission and vision in everyday language and contact with the
internal and external stakeholders.
• Assists in the development of and compliance with the policies and procedures to ensure
that medical records are complete and processed according to governmental regulations
and standard professional and medical record-keeping practices.
• Monitors and tracks compliance with legal documents and correspondence with
conservators/guardians and provides feedback to Legal/Compliance Director.
• Prepares and processes the clinical records of members served who are seen at MHSD
facilities.
• Maintains the Medical Records Request database and track requests through the disposition of the record request.
• Audits clinical records for completeness and adherence to standards and provides
feedback to Legal/Compliance Director.
Ensures that data is collected accurately and on time.
• Maintains and coordinates of vital records (pick up, return, shred bins, etc.) and all that this entails.
This is for the entire agency, medical records, I/DD and fiscal.
• Provides requested assistance to the clinicians as needed to facilitate as needed PS requests.
• Schedules all interpreter requests for the agency and review the invoices for accuracy.
• Ensures all requests for medical records are sent out in a timely manner prior to the deadline.
25% of the Time
• Converts documents for storage on microfiche or microfilm or another scanned document imaging.
• Verifies the accuracy of EHR data provided to physicians, hospitals, etc.
• Ensures that persons served demographic and episodic information is documented
within specified timeframes.
• Demonstrates good judgment, decision making, and initiative while performing daily tasks.
• Demonstrates knowledge and proper use of equipment and supplies within budgetary
parameters.
• Demonstrates a good rapport and cooperative working relationships with all members of the team.
• Verifies the accuracy of payments received for medical records.
• Seeks and implements improvements as necessary.
10% of the Time
• Demonstrates knowledge of MHSD's customers including clients/residents, families and
governmental agencies in all interactions and conduct.
• Acts in a professional manner, always demonstrating respect for and understanding of the
community when representing MHSD in the community.
• Completes and follows through with tasks and assignments, meeting expected deadlines.
• Understands and demonstrates knowledge of all policies associated with attendance.
• Conducts requested training for front desk staff pertaining to Medical Records procedures and policy.
5% of the Time
