Beacon Hill Staffing Group Administrative Assistant in New York, New York

Co-op Housing Community located in Chelsea, Manhattan is seeking to hire a Temporary to Permanent Administrative Assistant to support the 4-person Apartment Transfers Department. This position will start ASAP, requiring 5 days a week on-site from 9am-5pm (35-hour week). When permanent, this is a Union position offering a robust benefits package. This is a great opportunity for someone with an interest in real estate to be in a front-facing role and part of a close-knit team.

Responsibilities:

  1. OFFERING APARTMENTS
  • Select applications for apartments from internal and external waiting lists as directed.
  • Create offering letters, mail and file copies with applications.
  • Type yellow sheets with list of applicants for mailings.
  • Schedule appointments for applicants to view apartments; provide breakdown sheets.
  • Answer questions from applicants and cooperators during the viewing process.
  • Attach signed breakdown sheets to applications.
  • Re-file all applications after current apartment offering has been completed.
  1. WAIT LIST
  • Answer correspondence from applicants regarding:
  • Status of application
  • Change in application request (balcony or no balcony, family composition, etc.)
  • Request for "hold" status or reactivation from "hold" status.
  • Transfer from one waiting list to another.
  • Answer inquiries for pre-lottery applicants.
  • Refund application fee to applicants removed from list.
  • Create check requests for refunds and give to Finance Dept; maintain file of refund requests.
  • Send standard "removal from list" letter with refund checks.
  • Manage the external waiting list by updating the database in a timely fashion.
  1. SUPPORT APT TRANSFERS MANAGER
  • Answer questions regarding estates and surrendering of apartments.
  • Respond to calls in Manager's absence, or as directed to assist with overflow.
  • Issue affidavits for lost Stock Certificates, Bond Certificates and Occupancy Agreements as needed.
  • Create letters or forms if needed (yellow sheets, refund letters, etc.)
  1. COOPERATOR SUPPORT
  • Scan executed Occupancy Agreement to MDS.
  • Enter contact and emergency contact information into MDS.
  • Receive and send Intercom forms to Restoration Supervisor for new or existing cooperators.
  • Type and file letters for Refund of Equity.
  1. NEW SHAREHOLDER SETUP
  • Scan executed Occupancy Agreement.
  • Scan voter's signature page.
  • Enter contact and emergency contact information into MDS.
  • Receive and send Intercom Forms to Restoration Supervisor.
  • Remove new shareholders from the waitlist.
  1. STOCK & BOND CERTIFICATES
  • Make appointments for cooperators to pick up Stock or Bond Certificates.
  • Have cooperator sign for Stock or Bond Certificates.
  • Pull Bonds, check bond log and updated accordingly.
  • Place matured Bond Certificate in Bond Refund box.
  1. RECEPTION
  • When assigned, perform all functions including -
  • Cover reception during breaks
  • Call in any additional moves\deliveries to Security Office.
  • Check voicemail and forward calls to relevant staff members.
  • Open and distribute incoming mail; organize outgoing mail.
  • Moves and deliveries as assigned
Compensation/Benefits:
  • 55K base + Amazing Benefits Package
  • Union position when permanent
