The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Executive Director and working closely with the Director and the Communications team of the Harriman Institute, the Administrative Coordinator provides essential administrative support to the Institute. Responsibilities include managing correspondence, manuscripts, calls, travel, and conferences, maintaining the Director's calendar, and coordinating with visitors. The Coordinator will coordinate outreach and maintain relationships with university units, local institutions, and professional organizations.

Responsibilities

  • Works with the communications team to create, curate, and update content for the Institute's website and social media sites.
  • Assists with the production/writing and distribution of press releases, news articles, event reports, and publicity materials relating to all aspects of the Institute's programming.
  • Assists in planning and implementation with faculty and staff to ensure that programs and projects are appropriately represented in the public domain.
  • Drafts correspondence in response to related projects and general inquiries.
  • In close partnership with the Institute Program Manager, makes travel arrangements for conferences, meetings, and lectures and assists with planning lectures and other public events.
  • Assists in maintaining the master schedule of institute activities. Responds to all queries about institute programs.
  • Answers phone calls on the main line. Takes messages, directs calls, and dispenses information. Responsible for UPS and Federal Express. Assists with room bookings, arranging food services, and coordinating A/V equipment orders. Dispatches messengers, errand runners, etc.
  • Other duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent, and three years of related experience.

Preferred Qualifications

  • Some college.
  • Knowledge of a Slavic or Eastern European language is strongly preferred.
