Job Description

Adult Protective Services (APS) is mandated by the State of New York to provide social, legal and protective services to individuals 18 years of age and older, who because of mental or physical impairments are unable to meet their essential needs for food, shelter, clothing, or medical care, secure benefits and entitlements or protect themselves from physical or mental injury, neglect, maltreatment, or financial exploitation; are in need of protection from actual or threatened harm, neglect or hazardous coordination; and have no one available who is willing and able to assist them responsibly.

APS is recruiting for one (1) Clerical Associate III to function as Referral Unit Clerk who will:

Under supervision of the Referral Unit Supervisor with some latitude for independent action and decision- making, the Referral Unit Clerk performs moderately difficult clerical duties in the Intake Unit of DVPHA. The Referral Unit Clerk is responsible of varying difficulty in the retrieval of vital demographics and information for use by the Unit, processing, and data entering of information via the DWELL tracking system, establishes and maintain a filing system for required records, reports, and tracking systems in order to ensure ready availability, and is responsible for requisitioning office supplies when needed.

  • Retrieve, annotate, and make minor revisions ensuring the accurate entering of appropriate information on clients and providers such as income and demographic information in the DWELL tracking system as directed by the Referral Unit Supervisor to provided updated information on a continuum.

  • Implement and maintains a filing system for required records and reports to ensure ready availability to Unit staff, upper management, other HRA agencies and State agencies.

  • Enter/update/retrieve/check information on electronic information storage systems, by operating control console/keyboard/other, to facilitate clearance/search/verification/other operations.

  • Verify received information concerning client cases/other, by phone/mail/in person, by contacting sources/other relevant informant/checking scanners/rolls/other information sources, to confirm accuracy of information.

  • Maintain system of records/other informational materials, by entering/retrieving/ updating/transferring/deleting materials, following standard procedures/timetables, to ensure usability and timeliness of the system.

  • Contact Referral Unit Caseworkers and/or the Referral Unit Supervisor and/or Supportive housing facilities to obtain missing information and/or to confirm illegible information on authorization forms to ensure accuracy and checks records to ensure conformity with established Unit policies and procedures.

  • Consult with the Referral Unit Supervisor when problematic situations arise such as office system malfunctions.

Salary Range: $39,763 – 45,728

Work Location: 400 8Th Avenue – 8Th Floor – New York, NY 10001.

Hours/Schedule: 9-5

Qualifications

Qualification Requirements

A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.

Skills Requirement

Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
