The Executive Assistant position is responsible for administrative support for the Vice President of Global Air and Car Partnerships, the Vice President and Global Head of Global Lodging and Industry Engagement, and Vice President, Global Travel Benefit Strategy and Partnerships. All offices are dynamic, high-paced environments and therefore the day-to-day responsibilities require seamless collaboration across a wide range of business partners both inside and outside of American Express.

This position is an integral part of the team and needs to be extremely proactive in anticipating and adapting to the needs of three highly dynamic senior executives. The ideal candidate must be seasoned and experienced in handling a wide range of administrative related tasks and be able to work independently and confidently under pressure. Building strong relationships, being resourceful and knowing how to navigate large organizations fluidly will also be critical to success in this position.

Day to day responsibilities include, but are not limited to:

  • Work closely with other members of Executive Associate team to address meeting requests in a timely manner and also offer support to EA team when needed (large group meeting set up, team lunches, EA PTO coverage etc.)

  • Manage VPs heavy calendar activity and real-time schedules, coordinating meetings with senior executives and partner terms (both internal and external) across multiple locations and time zones. Clearly communicate scheduling conflicts and changes

  • Maintain monthly and yearly calendars, including advance notice of business travel and PTO. Actively anticipate annual events with calendar holds.

  • Independently plan and coordinate domestic and international travel including seamless itineraries, air/hotel/car arrangements, meeting arrangements and contact details, visa & consular needs, all transfers

  • Prepare, review, and process monthly expenses with detailed expense reports, in line with company T&E policies and in a time-sensitive manner

  • Prior to approval, review and process all Ariba and other system requests, providing necessary back up details

  • Support group administration including updating distribution lists, on-boarding for new hires, scheduling group-wide meetings (e.g. team activities, team meetings), and action on meeting logistics (correct attendees, descriptions, WebEx/Telepresence, room reservations, printing)

  • Manage corporate card basic control account, sharing with leader any inaccuracies

  • Support real estate management, taking ownership or all workstation and technology challenges for the team; ensure office supplies, business cards, workstation needs are ordered in a timely fashion

  • Partner Events & Ticketing: Manage compliance submissions for partner events/gifts given or received by the VPs, lead invitation management with direction from VP/MA for partner events

  • Maintain general cleanliness / maintenance of VP offices post-meetings (chairs, papers, etc.)

  • Supporting ad hoc project work as needed from leadership

Minimum Qualifications:

  • Ability to manage multiple priorities, make sound decisions, and maintain discretion and confidentiality of sensitive information

  • Excellent communication skills, both written and oral; strong relationship-building, and collaborating skills across multiple band levels.

  • Excellent calendar management skills, including the coordination of travel, complex meetings with internal and external parties, on a global level

  • Exceptional organizational and interpersonal skills

  • Strategic thinker and ability to anticipate and mitigate issues that may arise

  • Strong sense of integrity with ability to handle confidential and sensitive information with discretion

  • Ability to prioritize multiple tasks, respond and execute tasks quickly, and work autonomously

  • Strong written and verbal communication skills

  • Attention to detail and timely follow-up

  • Proven team player and collaborator

  • Positive attitude, solution-oriented and reliable

  • Calm under pressure balanced with sense of humor and flexibility

  • Expert knowledge of Microsoft Outlook and Microsoft Office and Word; working knowledge of Excel and PowerPoint

  • Strong working knowledge of common administrative systems and processes e.g., HR, purchasing, travel, CONCUR (expense management), Webex

Qualifications

Salary Range: $24.05 to $48.10 hourly bonus benefits
