Robert Half Executive Assistant in New York, New York

Description We are seeking an Executive Assistant for our non-profit organization located in New York. In this role, you will be the primary point of contact for internal and external constituencies on all matters pertaining to the organization, as well as provide support to our senior management team. This position offers a long term contract employment opportunity.

Responsibilities:

• Handle incoming phone calls, provide information and direct guests as needed

• Manage complex scheduling and travel arrangements, ensuring all details are handled efficiently

• Organize and schedule meetings via Zoom, ensuring all participants have necessary information and materials

• Maintain precise records and manage customer accounts

• Prepare meeting agendas and manage email correspondence professionally and promptly

• Utilize MS Office suite (PowerPoint, Excel, Outlook, Word) to create presentations, manage data, and communicate effectively

• Use CRM software to maintain customer relationships and track interactions

• Manage expenses and process credit applications accurately

• Utilize tools such as ADP - Financial Services, Cisco Webex Meetings, Concur, Kronos Timekeeping System, About Time, and Calendar Management to ensure efficient operation

• Facilitate conference calls and handle correspondence related to the role. Requirements • Proven experience as an executive assistant or in other secretarial position.

• Full comprehension of office management systems and procedures.

• Excellent knowledge of MS Office and office management software (e.g. ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time).

• Proficiency in English.

• Exemplary planning and time management skills.

• Ability to multitask and prioritize daily workload.

• High level verbal and written communications skills.

• Discretion and confidentiality.

• Familiarity with basic research methods and reporting techniques.

• Outstanding organizational and time management skills.

• Excellent communications and interpersonal skills.

• Ability to work in a fast-paced environment.

• High level of proficiency in Zoom and MS PowerPoint.

• Experience with calendar management and scheduling conference calls.

• Ability to manage correspondence and reports.
