Robert Half Facilities Coordinator 2 in New York, New York

Description

We are looking for a Facilities Coordinator in NYC. This is a long-term contract position in the facility management field. The person in this role will be in charge of assisting and coordinating a team of multi-faceted technicians, managing key stakeholder relationships, and ensuring tasks are accomplished accurately and in a timely manner.

Job Duties:

• Build and sustain robust working relationships with key stakeholders, property owners, management agents, and facility service providers.

• Oversee and track the performance of a team of versatile technicians.

• Aid in the overseeing of on-site contractors, ensuring their compliance with the required standards.

• Support the acquisition of service providers and vendors as needed.

• Support in managing financial processes to guarantee all financial management obligations are met accurately and promptly.

• Oversee purchase orders on the internal financial management system, ensuring their speedy and correct processing.

• Carry out site inspections, evaluations, recurrent audits, and enforce safety and building procedures as well as random duties and performance metrics.

• Aid in implementing the property risk management program and best industry practice operations.

• Keep premises tidy and functional at all times.

• Assist in executing and monitoring disaster recovery and business continuity plans.

• Adhere to established escalation processes and incident reporting procedures.

• Provide support for regular management reports and projects when needed.

• Help in achieving Key Performance Indicators (KPI) and Service Level Agreement (SLA) goals.

Requirements

• Proficient in Microsoft Excel, Microsoft Word, and Microsoft Outlook

• Experience in operations, procedures, and implementation

• Capable of answering inbound calls in a professional manner

• Experience working with vendors, partners, and stakeholders

• Knowledge of procurement, purchase orders, and property management

• Familiarity with facility management and risk management

• Ability to meet set targets and conduct KPI reporting

• Experience in managing agreements and contracts

• Ability to perform tasks related to conductivity

• Strong reporting skills, both written and oral.
