Part Time Administrative Secretary-Bilingual

Start Date and End Date: 8/26/24 - 10/31/24

Location: New York, NY 10003

Fully onsite on campus

Hourly Rate: $35/hour

Hours: 20 hours/week

Skills: Operational and administrative skills; Ibuy, concur, workday systems knowledge; communication and interpersonal skills; flexibility and adaptability; and problem-solving skills. The role involves complex operational supervision, detailed administrative support, and event logistics, all of which demand a thorough understanding of organizational processes, financial systems, and effective communication with a diverse range of stakeholders. Additionally, the position requires the ability to manage a fast-paced, high-pressure environment, where the individual must be proactive in problem-solving and capable of independently handling critical tasks.

Duties: Provide high-quality operational supervision and support; including overall office management and events logistics. Provide administrative support by processing invoices, payments, honoraria, and reimbursements, drafting correspondence, answering phones, responding to inquiries, making arrangements for meetings, maintaining an inventory of office supplies and equipment, ordering and replenishing supplies as needed, and picking up/delivering mail and materials. Coordinate all aspects of visitors to the center, including onboarding, travel, and lodging; enter visitor information to sponsored visitor portal. This position is of vital importance to every aspect of the Espacio de Culturas programming and requires an individual who is ready to actively and creatively partner with the Director and Assistant Director to implement a fast-paced public facing schedule of programs and events at one of the campus’s most beautiful facilities that is in constant use by the community. Preference will be given to candidates with knowledge of Spain and Latin America and a working knowledge of Spanish.
