Kroll, LLC Project Manager I, Facilities Management in New York, New York

The Project Manager role at Kroll demands an experienced professional with a proven track record of delivering and providing support within a large corporate office space. The role requires strong interpersonal skills to communicate with stakeholders, vendors, and clients. The role demands the professional management of the mailroom and productions team. An integral part of the NYC Office.

The candidate will report to the Senior Facilities Management Specialist in New York. The candidate will also work closely with the Manager 1, Operations.

Day-to-day responsibilities:

  • Supervision and management of the Production Room Team
  • Management of all operational and procedural aspects of the mailroom, to include receiving, delivery, shipment & mail processing. Mail and package distribution, courier services, bulk mailings, shipping supplies.
  • Managing print services (copy, scan, print, binding, labeling, cutting, lamination, tag printing, printer software and hardware services)
  • Research, recommend and provide cost effective solutions for client mailing, printing and shipping projects, facility issues and requests.
  • Understand project deadlines and assign staff as appropriate to ensure completion of tasks in a timely manner
  • Working in tandem with the Senior Facilities Management Specialist to ensure that both positions can be back up to the other in the event of vacation and sickness.
  • Supervises office tidiness and supply stock (organize conference spaces, rubbish removal, stationery and pantry restock, wipe down of office, conference, Common Areas, Caf and pantry spaces)
  • Coordinates with Building Management and client for all available building services (waste removal, porter, lighting, and cleaning services, electrical issues, plumbing issues, HVAC, fixture installation, reservation of freight usage, etc.)
  • Collaborates with clients and vendors providing support for client events, project materials, timelines and services, catering setups, conference setups, large scale material moves, shredding, and resolutions for logistical issues.
  • Provides weekly metrics for incoming and outgoing volumes, projects and special tasks, printing, bind and fixtures, schedule maintenance, escalate billing issues.
  • Scan requests, pantry runs and office support activity.
  • Office & Facility Supply Management (stationery, silverware, kitchen & pantry supplies, PPE, event materials, facility and janitorial materials, and print supplies)
  • Preventative maintenance and wipe down for on-site devices (Microwaves, Ice Machines, Refrigerators, Dishwashers, Coffee Machines, Water Machines, Multi-Function Printers, Binding Machines, Mailing Equipment)
  • Vendor Escort where applicable
  • Coordinates with Kroll sites worldwide to handle supply transfers, interoffice materials, document & package handling, staff & mailing inquiries.
  • Provide front desk backup as required
  • Daily walkthroughs of office space including conference rooms, restrooms, caf and coffee points and checking off in daily log.
  • Ensure that key stakeholders are looked after and always addressed in a highly professional manner.


Essential traits:
  • Five or more years of experience in office management and strong office management skills
  • Experience sourcing and communicating with suppliers and vendors directly.
  • Experience with RFPs.
  • Confident in managing budgets
  • Exceptional time management and organizational skills.
  • Ability to anticipate needs, priorities meet deadlines.
  • Excellent verbal and written communication skills.
  • Advance knowledge of Microsoft products.
  • High level of interpersonal skills and ability to communicate at all levels.
  • Proactive and creative mindset.
  • Strong attention to detail and high level of integrity.
  • Excellent time-management skills and an ability to organize and coordinate multiple concurrent projects and remain calm under pressure.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and our employees.
  • Understanding of project management.

The current salary range for this position is $60, 000 to $150, 000
