Kroll, LLC Project Specialist, Facilities Management in New York, New York

This is a key role which will provide support to our Production room facility within our newly opened New York Office. The position will be primarily responsible for the running of the production and mailroom facility. The candidate will report to the Project Manager.

Work Schedule: 7: 00 AM - 4: 00 PM

Day-to-day responsibilities:

  • Place Service Requests & Supply Orders for Printing Equipment and Materials.
  • Supervise Mail and Package receiving, processing and distribution.
  • Supervise receiving, handling and ordering of consumables and perishable items for Caf and pantry spaces.
  • Fulfill Client Scan, Copy, Print & Bind Requests
  • Supervise Pantry & Office Restock, Tidiness (organize conference spaces, rubbish removal, stationery and pantry restock, wipe down of office, conference, Common Areas, Caf and pantry spaces).
  • Report any office issues to management and client for further action.
  • Supervises mailroom & print services (Receiving, Delivery, Shipment & Mail Processing, Mail Distribution, Courier Service, Copy, Scan, Print, Binding, Labeling, Cutting, Lamination, Tag printing)
  • Coordinates with Building Management and client for all available building services (waste removal, porter, lighting, and cleaning services, electrical issues, plumbing issues, HVAC, fixture installation, reservation of freight usage, etc.)
  • Wipe down for on-site devices (Microwaves, Refrigerators, Dishwashers, Coffee Machines, Multi-Function Printers) and report any issues with on-site equipment to management & client for further action.
  • Vendor Escort where applicable
  • Post office and FedEx run
  • Provide front desk backup
  • Daily walkthroughs of office space including conference rooms, restrooms, caf and coffee points and checking off in daily log.
  • Ensure all facilities-related matters are reported to the facilities management team in a timely manner
  • Ensure all office equipment is maintained and serviced regularly.
  • Ensure the office is always clean and tidy.


Essential traits:
  • Experience of delivering a high standard of administrative and/or facilities support across a busy site.
  • Able to prioritize and manage competing demands under pressure.
  • Excellent organizational skills.
  • Strong communications and interpersonal skills, able to confidently interact with people at all levels of the business.
  • Computer literate with excellent working knowledge of Word, Excel and Power Point.
  • Well presented with a professional approach.
  • Ability to work to tight deadlines
  • Enthusiastic team player, outgoing and confident

The current salary range for this position is $50, 000 to $90, 000
