Job Summary

The Lead Receptionist is responsible for overseeing the daily activities of the receptionists at the New York City location, helping to ensure that Reception Services operates at the highest level possible. This is a supervisory position reporting to the Director of Reception Services.

Some Key Responsibilities:

  • Monitors staff to ensure that standard operating procedures are followed. Brings recurring performance issues to the attention of the manager.

  • Ensures all security protocols for visitor processing and admittance are adhered to.

  • Provides client support including answering incoming calls, welcoming clients or guests, preparing meetings rooms, monitoring shared mailboxes and completing conference room reservations. Provides coverage for callouts.

  • Serves as an initial escalation point for client questions or concerns. Obtains event requirements from clients and completes conference room reservations for meetings in EMS reservation system. Relocates existing bookings as needed to accommodate executive requests.

  • Audits EMS Visitor Data for receptionist team and also assists with general data auditing.

  • Provides back-up to the Reception Manager in completing the weekly schedule for the receptionist team, ensuring adequate receptionist coverage throughout the business day.

  • Liaison with other internal departments such as AV and Catering, as well as external service providers such as Facilities and Security, to ensure events are executed flawlessly.

  • Runs daily, weekly and monthly reports.

  • Reviews events calendar and ensures coverage for after-hours events as needed. Adds overtime labor charges to EMS.

  • Monitors Welcome Center visitor badge printing supplies as well as general supplies needed by the receptionist team.

Required Skills & Qualifications:

  • Minimum three years of experience in the hospitality, receptionist or customer service fields

  • Demonstrated ability to anticipate problems and render a seamless customer service experience

  • Strong computer skills, including proficiency in Microsoft Office (Word, Excel and Outlook). Knowledge of EMS is a plus.

  • Strong written and verbal communication skills. Fluency in more than one language is a plus.

  • Ability to lead, manage and inspire others. Exudes teamwork and hospitality

  • Ability to meet deadlines

  • Flexibility to adapt to business changes and challenges

  • Previous managerial experience and/or training is a plus

  • Prior experience working for Restaurant Associates and/or Compass Group is a plus.

  • High school diploma or equivalent required. BA degree a plus.

Monday - Friday work week. Ability to work a flexible work schedule, including hours outside of the standard business day. Punctuality is a must. Ability to work overtime as needed.
