ASPCA Trust and Estates Administrator in New York, New York

Summary:

The ASPCA's Legal Department helps the ASPCA to achieve its organizational goals of preventing animal cruelty and ending animal homelessness while assessing and managing funding, compliance, and risk.

The Trusts & Estates Administratorwill provide administrative support required to collect bequest gifts to the ASPCA, with a focus on non-probate gifts left to the ASPCA through bank and retirement accounts, life insurance, and other assets which make up a significant portion of the ASPCA's bequest revenue.

This position is based at our 8thAvenue office in New York City with some flexibility to work from a remote home office. The person in this role will be expected to work on-site 2-3 days per week.

Responsibilities:

Responsibilities include but are not limited to:

Non-Probate Administration (80%)

  • Manage all non-probate bequests from start to finish: contact financial institutions; fill out/finalize forms for signature by ASPCA authorized representatives
  • Collaborate with Finance department to coordinate for bank Medallion Guarantee Stamps as needed and to gather financial information for bequest forms
  • Work with Senior Director of Trusts & Estates to make decisions regarding redactions on agreements; follow-up on claims as needed
  • Maintain records of all non-probate bequests as paid out and in process
  • Update internal bequest database with information on all non-probate gifts
  • Manage financial transactions for all non-probate bequests and for other trust and estate files
  • Act as the liaison with the appropriate officers to ensure timely liquidation of inherited accounts
  • Work with Finance Department and brokerage account bank team to have assets transferred in-kind to ASPCA's accounts when necessary
  • Assist the Data team in the processing checks, wires, and stock received from non-probate assets
  • Accurately record non-probate revenue for reporting to the Planned Giving and Finance Departments

Estate Communication and Correspondence (20%)

  • Follow up with delinquent estate and trust files via correspondence and telephone contacts
  • Monitor the general Trusts & Estates telephone and email line to respond to communications and inquiries from trusts and estates professionals and individual fiduciaries; use critical judgment to answer inquiries and/or refer questions to the Senior Director of Trusts & Estates
  • Communicate with other estate representatives on behalf of the Senior Director of Trusts & Estates as needed
  • Discuss donor recognition opportunities with attorneys, fiduciaries, and decedents' families to honor bequest gifts

Qualifications:

  • Working knowledge of computer applications such as Microsoft Word and Excel
  • Familiarity with or ability to learn Salesforce donor software
  • Experience running reports, ability to use and run reports on internal bequest database
  • Excellent written and verbal skills
  • Good organizational skills, ability to manage multiple tasks and strong attention to detail
  • Demonstrates sound judgment, professionalism and responsibility in dealing with sensitive and confidential matters
  • Ability to self-motivate and work independently as well as work collaboratively with all levels of staff
  • Must be a current Notary Public in New York, or be willing to become a Notary Public in New York within 6 months of hire

Compensation & Benefits:

Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary range for this role is set forth below and may be modified in the future.

The target hiring range for this role is $28.37 - $29.33

3+ years of relevant administrative, paralegal, or law firm experience, 5+ years of professional experience required
