What You’ll Contribute:

Are you passionate about partnering with leaders to drive efficiency and impact? If so, we may have the perfect role for you! We are seeking a detail-oriented Administrative Assistant to join our Executive Support Team. This position offers a unique opportunity to be part of a centralized team supporting the leaders of our Chief Operational Officer (COO) Division.

In this role, you will provide administrative support to include calendar management, meeting and event coordination, expense management, and travel arrangements. Reporting to the Chief of Staff, you will play an impactful role in ensuring the smooth operation of the COO Division. This role will align with the Company's hybrid work policy with several days each week working from our Newark, Delaware office.

What You’ll Do:

Calendar and Meeting Management

  • Schedule and manage calendars for executive partners, proactively resolving conflicts and issues.

  • Assist in creating meeting documents, presentations, and agendas.

  • Support tracking and resolution of meeting action items.

Travel and Event Coordination

  • Book and organize travel arrangements, including flights, accommodations, and transportation to ensure smooth and hassle-free business trips.

  • Contribute to the planning and delivery of team events, ensuring seamless logistics.

Expense and Resource Management

  • Accurately manage expense reports in alignment with company procedures.

  • Manage office supplies, equipment, and facilities.

General Administrative Support

  • Address day-to-day administrative needs of executive partners to ensure smooth operations.

  • Collaborate with executive partners and the Executive Support Team to ensure administrative tasks are completed accurately and efficiently.

What you have:

Minimum education, skills and experience required:

  • Associate’s degree in Business Administration, Management, a related field, or equivalent work experience

  • Minimum of three years experience in administrative support

  • Excellent organizational, planning, and time management skills

  • Strong communication and interpersonal skills, with the ability to build relationships with stakeholders at all levels

  • Demonstrated ability to prioritize tasks in a fast-paced environment

  • Process oriented with ability to take ownership, drive delivery, and solve problems

  • Experience with office software and equipment, including Microsoft Office Suite and office management software

  • Strong problem-solving and decision-making skills

  • Ability to maintain confidentiality and handle sensitive information

  • Ability to work independently and as part of a team

  • Willingness to work flexible hours as needed

Preferred education, skills, and experience:

  • Bachelor's degree in Business Administration, Management, or a related field.

  • 3+ years of experience in administrative support.
