Position Summary:

Under the general direction of the Chair of the Department of Civil and Environmental Engineering, or designee, carries out routine standard assignments and more complex administrative duties.

Essential Functions:

  • Organizes necessary information for meetings as directed; independently prepares confirming memoranda, letters or e­ mail, initiates reminders of appointments and meetings, scheduling meeting rooms, lodging, AV equipment, refreshments, and parking for visitors as needed.

-Writes and publishes articles on departmental websites & department newsletter highlighting research and other functions.

  • Assists in student requisitions including internal and external job opportunities.

  • Assists and coordinates in various department events such as open houses and other recruitment and student competitions. Tasks include preparation of posters, flyers, newsletters etc.

  • Coordinates all aspects graduate student admission information, works with the admissions office, and communicates with the newly admitted graduate students.

  • Serves as liaison between departmental office and students, departmental faculty, other University departments, and outside contacts. Answers preliminary questions for students and directs them to appropriate university departments.

  • Maintaining and updating information for external partners.

  • Assists the department in student advising by coordinating appointments and removing holds in the department.

  • Collects course outlines from faculty for each course offered by the department, and works with faculty to meet ABET format guidelines to be posted on the web site.

  • Responsible for administrative task relating to student evaluation.

  • Must develop sufficient knowledge of the Departmental activities to anticipate issues and provide effective resolutions.

  • Provides training to staff and students on various student recruiting initiatives.

  • Manage purchase requisition for grant funded projects.

Additional Functions:

Performs other duties as required.

Prerequisite Qualifications:

  • Associates Degree.

  • Three to five years of progressive administrative experience.

  • Must possess initiative and ability to function under pressure, and meet deadlines.

  • At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.

Preferred Qualifications:

  • Knowledge of web design.

  • Experience in an academic environment preferred.
