The Role
We are currently looking for an Executive Assistant who will support multiple Vice Presidents in the Prudential Technology & Data organization. The role will support and report into the Head of Cyber Defense & Incident Response, Deputy Chief Information Security Officer and Head of Identity & Access Management, Chief Product Owner.
This role requires a proven track record in supporting senior level management. This includes exercising superior judgment based on in-depth experience, maximizing efficient use of time on behalf of the leaders, developing strong collaborative relationships across multiple constituents to move things ahead, and the ability to interact well with individuals external to Prudential. We are seeking a dynamic and resourceful individual who takes initiative and thrives in a fast-paced, challenging working environment.
Location is Newark, NJ (hybrid EWA, minimum 2 days/week in office)
Primary Responsibilities:
Support the executives by managing all day-to-day matters including but not limited to calendar management, meeting logistics for internal and external appointments, and processing expenses
Maintaining a regular open line of communication (via email, Instant Messaging, text/SMS, telephone, face-to-face conversations) with the executives to jointly manage strategic priorities, time management, calendaring, meetings with partners, assisting with various approvals, and all other priorities
Scheduling large meetings with senior-level executives external to Prudential and across Prudential.
Proactively manage travel arrangements, coordinate itinerary details, and mitigate unforeseen changes
Manage special projects including occasional events, external presentations, and speaking engagements; prepare and coordinate communications
Assist with review and coordination of other initiatives as needed within executives' organizations
Professional representation and handling of all forms of communications
Regularly and independently research and or respond to a portion of the principal's email
Build and grow a strong network of relationships across Prudential
Your Expertise
What youll need to succeed:
7 years of administrative experience at the VP or above level
Ease in working in a fast-paced environment and adapting to changing priorities
Ability to support multiple executives with different management styles
Resourcefulness and the ability to negotiate schedules and conflicts with other assistants and partners
Comfort escalating issues appropriately to quickly resolve them
Discretion required in handling highly sensitive and confidential information
Excellent proficiency in Microsoft Outlook; pride in maintaining an exemplary executive calendar; strong skills in Excel, Word, and PowerPoint
Technologically savvy familiar with digital apps and online resources
Excellent organization, meeting planning, and project management skills with the ability to effectively juggle multiple high-level priorities
Forward thinking, actively seeking opportunities for improvement and proposing solutions
Self-motivated; demonstrates initiative and anticipates issues, provides realistic solutions, employs sound judgment, and makes timely decisions
Able to work independently with minimal supervision, work under tight time constraints, and be able to prioritize his/her work
Ability to navigate meetings and commitments occurring in different time zones
Flexibility to work overtime as needed
