Job Description

As an Associate Specialist within the Early Talent Pipeline – Recruiting team, you will play a vital role in supporting the Early Talent Pipeline (ETP) recruitment and early career strategy. You will provide essential tools and information to ETP recruiters to facilitate the sourcing and recruitment of top university talent. You will contribute to the planning and execution of special recruitment projects and aid in the operations efforts, particularly during peak recruitment seasons, as well as supporting programs like AbbVie’s Externship and Internship.

This is a dynamic and fast-paced position that requires managing multiple projects and priorities simultaneously. You should have strong proficiency with recruitment database management and be adept with standard Microsoft Office Suite tools, including PowerPoint, Excel, Teams, and Outlook. Our ideal candidate thrives in a creative environment, can effectively navigate ambiguity, and possesses excellent organizational, communication, and project management skills.

This role will be based in Lake County, IL at AbbVie’s AP34 building. This role will also operate within AbbVie’s hybrid Ways We Work model with three days in the office.

Responsibilities

  • Support ETP Recruiters with campus recruitment, job postings, event planning and execution, and management of our event tool software, as well as attending events (as necessary)

  • Manage the ETP Recruitment Team's reporting and oversee updates to communication templates and recruitment documents, including PowerPoint presentations, marketing materials, and training documents.

  • Support preparation for campus recruiting season by managing the requisition creation process, requisition movement, offer process, and administrative tracking within the Human Resources Information System (HRIS) (Workday), as well as the Applicant Tracking System (ATS) and ETP master database.

  • Bring energy and creativity to life by executing innovative yearly ETP special project strategies, including captivating social media and dynamic keep warm strategies, to engage and attract top talent.

  • Support ETP marketing strategy, including overseeing execution of brand and collateral materials, coordinating website updates, and maintaining SharePoint resources to ensure consistent and impactful communication.

  • Support ETP Recruitment Manager with candidate referral management

  • Support the Intern Program, including planning and execution of functional orientation and events

  • Oversee the team's budget and manage expenses to ensure financial efficiency and alignment with organizational goals.

  • Project manages the Externship Program, overseeing its planning and partnering with the larger ETP Team for execution to ensure a successful experience.

  • Assist with interview scheduling and candidate communications during peak recruitment season as needed

  • Support other Early Talent Pipeline efforts as needed

Significant Work Activities: Continuous sitting for prolonged periods (more than 2 consecutive hours in an 8 hr day) is required

Qualifications

  • Bachelor’s degree preferred with a focus in Human Resources, Management, Marketing, or related field

  • 1 – 3 years of previous experience in staffing coordination, programming, campus recruitment or in an HR environment preferred

  • Experience using HR, recruiting and event systems such as Workday, SmartRecruiter, Yello, Handshake preferred

  • Proven communication, customer service and organizational skills and the ability to interact with customers and team members at all levels

  • Excellent attention to detail, prioritization and follow-up skills

  • Experience with managing projects with little direction preferred

  • Proficiency using Microsoft Office Suite (Excel, PowerPoint, Word, Teams, Outlook)

  • Experience with AI technologies and data visualization tools to enhance efficiency and optimize workflow management preferred

  • The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future.​

  • This job is eligible to participate in our short-term incentive programs. ​

Salary: $58,656 - $98,000
