Smith College Student Employment & Payroll Specialist in Northampton, Massachusetts

NORTHAMPTON - Student Employment & Payroll Specialist Essential Functions Student Employment (70%) Assist the community with all aspects of Student Employment, up to and including, the creation of student positions, student hiring, student I-9 verifications, time entry audit, approval and payment. Lead and/or support all aspects of employment including creating training materials, participating in training sessions, and providing individualized training sessions as requested, and participating in the annual Central Check-In process for new students. Answer emails, phone calls and help tickets submitted with questions and provide professional guidance. Work with members of the team to foster relationships with off-campus employers to ensure Federal Work-Study policies and regulations are met, including completion of annual agreements. Maintain these agreements to ensure completeness. This position must understand and enforce the colleges payroll, student employment, and Work-Study policies and will use Workday and other supporting technologies to complete their responsibilities. Payroll (20%) Process all aspects of the payroll in a timely and accurate manner which includes data entry, running processes, and distribution of checks/notifications. Assist employees in the completion of employment forms, including Form I-9, W-4, State Withholding and Direct Deposit. Work closely with human resources, provost office and other departments to ensure that timely and accurate data is received, audited and processed. Process periodic and quarterly tax filings with OSV, reconcile discrepancies, and work closely with the OSV to validate data and the accuracy of agency filings. Audit payment requests for accuracy and proper authorization. Respond to inquiries and problem solve. Assist in the year end processing of Forms W-2, 1042S and 1099. Prepare and review payroll reports as necessary. Serve as a back-up for the payroll process. Other Duties (10%) Support account reconciliations and other accounting processes. Participate in month-end and quarterly closing processes. Support the controller\'s team with special projects, fiscal year-end audit, Form 990 preparation, IPED, NACUBO, and other submittals. Scan, file, and other administrative tasks. Other Student Employment and Payroll duties as assigned. Minimum Qualifications Associates Degree in Accounting or relevant field, plus two years of payroll or human resources (student workers) experience, or an equivalent combination of education and/or experience. Experience working with diverse backgrounds. Preferred Qualifications Bachelor\'s Degree and /or experience with Workday and student employment preferred. Skills Demonstrated organizational, interpersonal and communication skills; strong attention to detail and data entry accuracy; excellent judgment, discretion and ability to maintain confidentiality; demonstrated written and verbal and communication skills with the ability to interact with diverse constituencies; ability to manage multiple tasks simultaneously; ability to work in a fast-paced environment, ability to work on a team and independently; strong computer skills, preferably with Microsoft Office (Excel and Word) and Workday.
