The Total Rewards Analyst takes an analytical and detail-oriented approach to developing and supporting Aspen Aerogels, Inc. compensation and benefits programs. This position will play a key role assisting in the development, implementation, communication and administration of the Company’s compensation & benefits programs.

DUTIES AND RESPONSIBILITIES:

Compensation:

  • Review internal compensation data and perform analysis of external market statistics to determine the competitive and fair pricing for new and existing roles, and provide recommendations for new positions, candidate offers and internal progression.

  • Support administration of equity compensation plans, including stock options, restricted stock units (RSUs), and employee stock purchase plans (ESPPs).

  • Ensure accurate recordkeeping of equity grants, exercises, and vesting schedules.

  • Assist in the implementation and management of compensation analytics platform to help facilitate ongoing compensation planning review and analysis with HR and business leaders.

  • Support the creation and maintenance of compensation planning systems and dashboards within the annual compensation cycle.

  • Lead the participation in compensation survey submission as well as collecting and analyzing salary information to help determine competitive positioning

  • Maintain job descriptions library. Conduct reviews of job descriptions to ensure organization requirements and title standards are being met and market pricing accurately reflects the role. Work with HR and internal business managers to ensure roles are clearly defined, meet compliance standards for ADA and other best practices.

  • Perform internal audits and reviews periodically for FLSA status requirements and local, state and federal minimum wage requirements

  • Assist with various ad hoc research projects and/or special projects.

  • Assist in the implementation and administration of Aspen compensation programs.

  • Work closely with Finance, Legal, and external providers to ensure compliance and recurring accrual and regulatory reporting requirements, including SEC rules and tax laws.

    Benefits:

  • Support the administration of employee benefits including group health, dental, vision, life insurance, accident and disability, 401(k), EAP and wellness benefits, spending accounts, supplemental benefits and other benefits programs.

  • Assist in the preparation of information for ensuring compliance including annual 401(k) plan, 5500s, Summary Plan Descriptions, FLSA, ADA, ERISA, ACA, FMLA, HR audits, etc

  • Collaborate on the administration of the 401(k) plan to ensure compliance such as: ensuring the accuracy of plan enrollments through ongoing reconciliation, loan/hardship withdrawal administration, and administration of the annual audit requests.

  • Assist with communications to employees, including creating and editing content and liaising with the Broker and Legal for guidance, content, and compliance.

  • Support ongoing ACA plan compliance.

  • Support aspects of annual Open Enrollment process.

  • Support the administration of global benefits plans.

  • Serve as backup and provide ongoing assistance in the administration of the Leave of Absences programs.

  • Communicate regularly with internal and external teams on complex employee inquiries including HR, Payroll, Finance, Brokers, and account managers at the various vendors

  • Works with internal stakeholders and vendors as needed in planning and executing of wellness initiatives including annual benefits and wellness events.

  • Performs other related duties as assigned by management.

    QUALIFICATIONS:

  • Bachelor's Degree (BA) from four-year college or university, or equivalent combination of education and experience.

  • 5 plus years of progressive compensation and benefits experience

  • Excellent judgment, integrity and discretion involving confidential information

  • Exceptional written and verbal communication skills

  • Exceptional people and customer service skills with experience and desire to help employees at all levels

  • Outstanding computer skills including but not limited to MS Excel and Word, Web-based programs and tools. Expert-level MS Excel a plus (Vlookups, Pivot tables, etc.)

  • Outstanding problem-solving skills

  • Ability to work independently with minimal direction

  • Strong ability to multi-task and meet tight deadlines

  • Ability to establish priorities as related to assigned projects

  • Ability to function in a fast-paced and demanding environment

    PHYSICAL DEMANDS AND WORK ENVIRONMENT:

  • Occasionally required to stand and walk

  • Occasionally required to climb, balance, bend, stoop, kneel or crawl

  • Continually required to talk or hear

  • Occasionally works around fumes, airborne particles, or toxic chemicals when in the manufacturing environment

  • While performing the duties of this job, the noise level in the work environment is usually moderate

  • The employee must occasionally lift and/or move more than 20 pounds / frequently lift and/or move up to 10 pounds / continually lift and/or move up to 5 pounds.

  • Specialized equipment, machines, or vehicles used: Occasional use of office copier and scanner
