Currently, we are seeking a highly skilled and bilingual Administrative Assistant to join our team and support our operations.

Job Description:

As a Bilingual Administrative Assistant, you will play a key role in providing administrative support to our team while serving as a bridge between our English-speaking staff and Spanish-speaking clients. You will assist with various administrative tasks and communications, ensuring smooth operations and excellent customer service.

Key Responsibilities:

  • Serve as the primary point of contact for Spanish-speaking clients, providing assistance and answering inquiries in both Spanish and English.

  • Translate documents, emails, and correspondence between Spanish and English as needed.

  • Assist with scheduling appointments, meetings, and travel arrangements for staff and clients.

  • Prepare and format documents, reports, presentations, and spreadsheets in both languages.

  • Maintain accurate records and databases, ensuring data integrity and confidentiality.

  • Assist with client onboarding and account maintenance processes, ensuring compliance with regulatory requirements.

  • Handle incoming calls and emails, directing inquiries to the appropriate personnel and providing information as needed.

  • Coordinate with internal departments and external vendors to facilitate smooth operations and client service.

  • Assist with special projects and ad hoc tasks as assigned by management.

  • Uphold company policies and procedures while maintaining a high level of professionalism and confidentiality.

    Requirements

Requirements:

  • Fluency in both Spanish and English, with excellent written and verbal communication skills in both languages.

  • Proven experience as an administrative assistant or in a similar role, preferably in the financial services industry.

  • Strong organizational skills and attention to detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.

  • Excellent interpersonal skills and the ability to build rapport with clients and colleagues.

  • Knowledge of financial terminology and processes is a plus.

  • High school diploma or equivalent; additional education or training in office administration is preferred.
