+-----------------------------------------------------------------------+ | Academic Records Specialist | +-----------------------------------------------------------------------+ | | | The Office of the Registrar is currently looking to add an Academic | | Records Specialist to our team. This role will manage and resolve | | duplicate Banner records pertaining to student data, and work with | | Student Accounts and Financial Aid for financial processes resolution | | of the duplicates, due to shared data systems. Provide leadership to | | the customer service functional area for transcripts, verifications, | | name andSSNchanges in the student system. Activate non-degree seeking | | students and validate activity lists. Manage NetID extension | | requests. Serve as the backup of the grading duties and data | | integrity procedures. Assist with international Apostille procedures | | and specially requested letters. Create and run audits of Banner | | inSQL, Tableau, and Business Objects to verify student data. Other | | duties include processing changes to the student record submitted | | through the University's electronic form system (eForms), monitoring | | email pertaining to the ND Roll Call process, and special projects. | | | | - Run table checks audit to catch duplicate student records. Move | | student data to the appropriate record, and work with Student | | Accounts and Financial Aid for financial processes resolution due | | to the shared data system. Work withOITto resolve any final | | merges in tables. | | - Activate non-degree students in Banner. Communicate with | | appropriate colleges such as St Mary's and Holy Cross as well as | | departments within the institution and students. Assure | | appropriate coding for Okta. Coordinate lists withROTCand | | marching band to make sure all non-degree students are activated | | and registered. | | - Provide leadership to the customer service functional area. | | Assist with transcript and verification operations, leading the | | effort for new technical processes. Assist in questions and | | concerns regarding various issues and policies. Act as a liaison | | to current and former students, faculty, academic depts, parents, | | and outside companies concerning all other academic services | | relating to registration, grading, ND Roll Call, commencement, | | Summer Session, etc. | | - Create and run audits of Banner inSQL, Tableau, and Business | | Objects to verify student data. Provide assistance to the | | Assistant Registrar of Student Records in analyzing and | | troubleshooting student data. | | - Assist the Apostille procedures by gathering the appropriate | | student data and sending to the appropriate certifying state, | | government, and/or country offices, notarizing as appropriate. | | Supply licensure agencies, prospective employers, and other | | universities with needed course descriptions, credit | | explanations, or special verification letters. | | - Serve as a back-up to the Grading and Academic Records | | Specialist. Assist with grade change eForms and rolling grades. | | Help run queries to assure correct data. | | - Manage NetID extension requests by determining eligibility, | | sponsorship, and timing. Code all extensions in specified | | application | | - Special projects such as testing system upgrades, implementing | | new solutions, and student record validation. Process changes to | | the student record as submitted through the University's | | electronic form system (eForms). Monitor the ND Roll Call email | | and answer questions. Other Registrar responsibilities as | | assigned. | +-----------------------------------------------------------------------+ | Bachelor's degree. | | Highly organized, motivated, self-directing, ability to multitask and | | prioritize, communicate effectively orally and in writing, work | | independently and as a team. Ability to adapt and integrate changing | | and developing technologies, basic understanding of federal laws such | | asFERPA, ability to work under tight deadlines, effectively manage | | and oversee group projects. | +-----------------------------------------------------------------------+ | Experience within an area of student services/student records a plus. | | Banner knowledge a plus or the ability to acquire the skills in the | | University's Banner system.
