Description

We are seeking an experienced and reliable Executive Assistant to support our client's company's top executive. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The Executive Assistant will oversee scheduling, handle travel arrangements, act as a gatekeeper, manage communication, and perform various administrative tasks to ensure smooth and efficient business operations.

Responsibilities:

  • Provide high-level administrative support to the executive by managing an active calendar of appointments, and handling correspondence.

  • Plan, coordinate and ensure the executive's schedule is followed and respected.

  • Facilitate communication between the executive's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.

  • Arrange complex and detailed travel plans, itineraries, and agendas, and manage expense reports.

  • Research, prioritize and follow up on incoming issues and concerns addressed to the executive, determining the appropriate course of action.

  • Perform administrative and office support, such as typing, dictation, scanning, faxing, filing, and photocopying.

  • Organize team communications and plan events, both internally and offsite.

  • Compile and prepare documents, briefing papers, reports, and presentations for meetings.

    Requirements

Qualifications:

  • Bachelor’s degree or equivalent experience.

  • Proven work experience as an Executive Assistant or similar role.

  • Excellent verbal and written communication skills.

  • Strong organizational skills, with the ability to multitask and prioritize tasks.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office productivity tools.

  • Discretion and confidentiality.

  • Ability to work independently and exercise good judgement.

  • Exceptional attention to detail.

  • The successful candidate will be self-motivated, highly organized, and adaptable to changes in priorities.
