Ottawa County Senior Resources Senior Resources Assistant PT in Oak Harbor, Ohio

Job Summary

This position will serve as an administrative assistant for the programs and daily functions of Ottawa County Senior Resources under the direction of the Program Coordinator, and Director as needed; Duties include, but are not limited to: office/clerical/paperwork to help maintain records for all aspects of the Senior Resources programs, daily generation of meal numbers, routes and details in tablet system, answering phone calls and emails from clients, general public and partner organizations, newsletter distribution set up, set up and maintenance of digital client files, cover office duties and office hours as needed, assist with logistics of event planning and other projects as assigned. This position will also serve as back up staffing for meal packing room, home delivered meal drivers and senior center site staff. Filling in may include setting up, serving and/or delivering meals, and clean up as well as group supervision and paperwork.

This position may require operation of county owned vehicles in compliance with traffic and safety laws.

*Minimum Qualifications: *

  1. High school diploma or GED or equivalent combination of training and experience to provide effective communication and excellent digital record keeping skills.
  2. Experience in Food Service areas helpful but not necessary.
  3. Must be able to follow written and oral instructions.
  4. Must be able to understand and utilize computer, online databases, spreadsheets, etc.
  5. Must be able to maintain client confidentiality.
  6. Must maintain a valid driver's license and a safe driving record.
  7. Must be bondable and insurable.
  8. Ability to lift and/or carry a minimum of 50 lbs.
  9. Must pass criminal background check and drug testing.

Preferred Qualifications: One year or equivalent working knowledge in office environment, client relations or related field.

Essential Job Functions:

  1. Clerical/Office: answering the telephone, assist any clients/callers with needed information, direct calls to proper person, cover office duties and office hours as needed.
    1. Development and maintenance of digital client files
    2. All office projects as needed including copying, stapling and developing forms/spreadsheets.
  2. Computer Operations: utilizing the CAREeVantage Tracking System to assist with generating meals, uploading & downloading, denoting changes and updates, communicating updates with drivers, packing room, kitchen and other staff
  3. Program Back up - Coverage of program entities as denoted below
    • Emergency backup driver -- must review and keep updated on delivery routes.
    • Meal Packer -- when needed
    • Senior Center Site Staff -- assist with coverage and projects when needed

Job Location: Main base of operation is Senior Resources Main Office located in Riverview Healthcare campus in Oak Harbor. Other locations for back up and projects may include Senior Centers in Danbury, Genoa and Port Clinton.

Shift & Hours: This position is expected to be in the office 4- 5 hours daily, Monday -- Friday in the A.M. Exact start and end times are flexible.

Equipment Used: Telephone, copier, computer/tablets and various kitchen equipment.

Other Responsibilities: Other related functions and responsibilities as designated by the Program Coordinator and/or Director of Ottawa County Senior Resources as needed.
