Description

We are currently seeking an organized and diligent individual to join our team as a File Clerk in the HR department. The primary role of this position involves managing and maintaining the company’s HR paperwork and records with utmost confidentiality.

Responsibilities:

Accurately file HR documents, including contracts, recruitment paperwork, performance evaluations, employee records, forms, and other related documents. Implement efficient and secure procedures for paper and electronic filing systems using tagging and labeling for easy identification and access. Regularly check, update, and manage HR databases ensuring all details are accurate and up-to-date. Maintain and update the record-keeping system, ensuring uniformity and legal compliance. Retrieve files upon request in a timely manner, ensuring only authorized individuals have access. Conduct regular audits of HR files for completeness, location, and preventive maintenance. Assist in the preparation of HR reports by collecting and collating relevant data. Interact effectively with the HR department and other staff, providing filing support as needed. Perform data-entry tasks and update employee information in the HR system as and when required. Completely comply with company policies and regulations regarding the confidentiality of HR records.

Requirements High school diploma or equivalent is mandatory. Prior experience in an administrative role or similar position will be preferred. Proficiency in using computers, including Microsoft Office Suite. Excellent organization and attention-to-detail skills. Ability to handle confidential information with the utmost discretion. Strong communication and interpersonal skills. Understanding of HR operations and legal regulations related to record-keeping is a significant advantage.
