As a Human Resources Executive Assistant you will: be an integral part of the organization that is responsible and oversees the overall Benefits and Well-being programs for the entire Enterprise - empowering our employees to improve their quality of life, so they may be their best at work, at home and in their community. The successful candidate will effectively lead the overall functional and organizational needs of the team in a fast-paced environment. In addition, the candidate will demonstrate strong technological savvy, outstanding grammar and spelling, and exceptional organization and attention to detail. • Provide day-to-day administrative support Enterprise Benefits Executives • Thoughtfully manage complex calendars over multiple time zones • Review each leader's schedule to build in time for preparation and travel • Pivot quickly to reschedule a carefully planned day when pressing conflicts arise • Draft professional correspondence on behalf of your leaders • Plan and create travel itineraries, taking into account time zones, weather delays, traffic and fatigue levels • Interact with a wide variety of internal and external partners on behalf of leadership and the team • Provide administrative and office support as required, such as answering phone lines, arranging office access, performing data entry, composing correspondence, and ordering supplies • Plan smaller-scale team gatherings • Onboard new employees - you will be the friendly guide that team members rely on to answer questions • Purchase all office supplies for the department, and manage invoices, purchase orders, and vendor contracts • Partner effectively with peers to ensure effective distribution of work and office coverage • Create/format PowerPoint presentations for executive audiences • Create Microsoft Word documents for high level audiences, translating leaders' notes and direction into polished final product • Draft agendas for various meetings and audiences • Triage benefits mail to the right parties • Backup support for gym front desk This is a full-time 4-month hybrid contract opportunity (Monday-Thursday onsite, Fridays remote) The ideal candidate must have: • At least three years supporting a Director or above, or equivalent experience • Demonstrated ability to handle highly confidential and sensitive information • Sharp written and verbal communication skills, including clean grammar and a robust vocabulary • Ability to prioritize tasks in a fast-paced environment • Strong proficiency with all types of computers, phones and office equipment • Advanced proficiency of Microsoft Office programs including Outlook, Word, PowerPoint and Excel; strong skills in SAP, Sharepoint, Concur, Slack, and Zoom, and the resourcefulness to learn new applications as needed • Genuine desire to be helpful to your leaders and co-workers, to go above and beyond without being asked, to build solid inter and intra-team relationships • Highly detail oriented and organized, with strong proofreading skills, especially under time constraints • Highly meticulous, organized, approachable, and friendly • Willingness and ability to proactively improve existing processes • Ability to lead multiple projects, tasks, and deadlines while remaining composed and calm • Committed to develop trusting and supportive working relationships with team and peers • Availability to work overtime without prior notice •
