Position Purpose Reporting to the Director of Admissions, this position's primary task is to maintain the front desk for the Admissions Office and be a welcoming presence to current, former, and prospective students, as well as their family, friends, teachers, counselors, and community members. The incumbent works with other Admissions staff to schedule campus visits with individual prospective students or groups and uses the Customer Relationship Management (CRM) tool to communicate about and track visits. Additionally, under direction of the Program Coordinator, this position helps with general office duties, such as answering phones, processing mail, uploading scanned documents, filing, and helping to support the Admissions Office with clerical duties, as well as providing guidance to Student Ambassadors to ensure completion of assigned tasks. Nature and Scope Essential Functions Act as the primary general reception person for the front desk of the Admissions Office, including greeting visitors, creating a welcoming front office experience, answering questions, providing directions, and referring people to appropriate areas. Help students and visitors get their needs met while visiting campus. Check in visitors for information sessions, tours, and appointments. Schedule appointments for office staff and campus visits. Collect and input contact information from potential students and connect them with Admissions resources and staff. Work with Admissions staff to schedule and book on and off campus events. Ensure informational materials are available for prospective students. Provide clerical support for the Admissions Office, including answering phones, processing mail, uploading scanned documents, filing, and other office duties. Use the Admission CRM to look up information, check in visitors, input information, and for communication purposes. Additional Duties Knowledge Skills and Abilities Excellent interpersonal and written communication skills and abilities with diverse groups and individuals. A strong commitment to customer service and ability to maintain excellent student-centered service. Skill in building and maintaining strong working relationships. Skill in using CRM software to enter, look up, and extract information. Skill in using standard office equipment and Microsoft 365, including Outlook, Word, Excel, and Teams. Excellent organization and planning skills and ability to manage time effectively, prioritize multiple requests, and follow through to bring tasks to completion.
