Position Announcement

 

Reporting to Technical Operations director, the Event and Production Supervisor is responsible for the overall logistics, scheduling, and production success of events and performances for the UVU School of the Arts and the Noorda Center for the Performing Arts (The Noorda). Primary clients include the departments of Art & Design, Dance, Music, and Theatre along with Noorda Series events, touring attractions including the Utah Symphony, and Facility Rentals whether by UVU or external organizations. They are the primary owner of the overall building schedule of all activities in accordance with university guidelines and Central Campus Scheduling. This position will be responsible for advising on and advancing all events on the Noorda Series. They will be the primary conduit of information between external artists and all internal stakeholders. They will track, coordinate, and file all contracts and coordinate logistical arrangements including meet and greets, masterclasses and other interactions between UVU students, faculty, staff, and outside artists. This position will play a key role in the financial future of the Noorda Center by being the primary rental manager for non-SOA and third-party users. They will interface with rental clients and will track, monitor, and accurately bill users for their expenses and time using the Noorda Center.

 

Summary of Responsibilities

 

• Schedule: Book all SOA, Noorda, and UVU/Rental needs for production, rehearsal,performance, workshop, and exhibition spaces. Advise on production schedules for events -ensuring sufficient time is allocated for all aspects of the production process, including,auditions, load in, rehearsals, performances, and strike. Coordinate with other EPS & UVUdepartments for successful event execution.

• Administer and oversee the use of Priava, our event management software, and ensure compliance with and documenting all space use in live. Manages several part-time employees, including hiring and performance management.

• Track and administer budgets, finances and production processes and create settlementsheets for internal and external users. Send quotes and invoices for services.

• Arrange and execute all guest artist requirements including air, hotel, ground trans,hospitality, catering, Artist advance, runner, and scheduling.

• Engage potential clients and track incoming requests and work closely with NCPA Venue Manager to respond accurately with availability and usage quotes. Ensure clients are respectful of the space and name and that works presented follow guidelines and agreements set forth. Track all usage agreements through execution and ensure deposits and final payments are processed quickly and accurately.

• Performs other job related duties as assigned.

 

Qualifications / Licenses / Certifications

 

Bachelor's Degree in Arts, Arts Administration, Event planning, or related field plus one year experience OR Any combination of education and experience related to the job duties totaling 5 years.

 

Knowledge / Skills / Abilities

 

Knowledge

 

• Proven knowledge of event management, from inception to post-event assessment.

• Familiar with labor agreements and negotiation, labor law, contracts, payroll.

• Certification in crowd management and safety, first aid/CPR/AED, and industry best practices for event-related risk management practices.

• Working knowledge of office software, including Microsoft Office, and other software/online resources used for scheduling and production management, payroll and shift scheduling software e.g.

• When to Work, etc. Ability to quic ly learn and implement new systems as required.

 

Skills

 

• Excellent communication skills both verbal and written.

• Proven skill to successfully manage interpersonal working relationships. As appropriate, collaborate with staff in other units and divisions to achieve the goals of the school.

• Exceptional organizational skills; deadline driven with proven ability to manage changing priorities.

• Excellent decision-making, problem-solving, and analytical skills.

• Familiarity with standard event vendors and contracts and negotiation in areas such as Catering (and safe food handling,) Security, Parking, Backline/Equipment, Labor, A/V, and networking, etc.
