Indian Hills Community College Administrative Assistant, Physical Facilities in Ottumwa, Iowa

Job Summary:

This person is responsible for the general administrative functions within the Indian Hills Community College Facilities department.  Duties will include record-keeping, purchasing, inventory management, project and task management, answering telephones, and coordination of appointments and meetings.

Minimum Job Requirements:

  • Post-secondary administrative assistant training.

  • Three years relevant experience.

  • Accurate typing and clerical abilities.

  • Ability to work and communicate with a variety of people.

  • Excellent organizational and customer service skills.

  • The ability to handle multiple projects and changing priorities.         

    Work Performed:

  • Coordinate purchasing processes and procedures.

  • Coordinate approvals for facilities and custodial purchases.

  • Maintain inventory of all IHCC Facilities equipment.

  • Triage emergency facilities calls and route appropriately.

  • Assist in task creation, maintenance and reporting in project management and work-order system.

  • Assist in shipping and receiving as needed.

  • Scanning and filing.

  • Maintain blanket purchase orders for frequently used vendors.

  • Maintain association membership documentation.

  • Facilitate travel requests, arrangements, and reimbursements for staff.

  • Receive calls from and schedule appointments for vendors, visitors and deliveries.

  • Report repairs, maintenance and insurance claim information quarterly.

  • Coordinate warranties for IHCC Facilities equipment.

  • Office/receptionist duties for the area to include answering phones, scheduling appointments, and supplying information.

  • Order and stock supplies for custodial and facilities.

  • Invoicing for Facilities related utilities or services.

  • Maintain regular and consistent attendance at work.

  • Other duties as may be assigned.

Position Level:               

Office, Level II-Non Exempt-Traditional Funding, at will employment on a letter of employment

Employment Length:

4 term, full time, benefits

Schedule:

9 hrs/day, Monday-Thursday 

Hourly Rate:

$16.09 - 16.99
