SUNDANCE INSTITUTE Festival Coordinator, Operations in PARK CITY, Utah

POSITION OVERVIEW

 

The Festival Coordinator, Operations is charged with assisting in the operational planning, implementation, and management of the Festival Operations department. This includes supporting Venues, Theater Operations, Production, Technical Exhibitions, Transportation, and Logistics.

 

Working closely under the direction of the Director, Production & Operations, the Festival Coordinator, Operations position supports Sundance Institute's commitment to fulfilling a successful and positive Festival experience for all artists and patrons.

 

This temporary position works full time from Monday, October 21, 2024 through Friday, February 14, 2025 and will be required to work extended hours, including evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position must be based within a commutable distance to our Park City, UT office in order to work onsite in a hybrid capacity throughout its employment. There will be ample opportunity for remote work leading up to the Festival in January.

 

Top priorities include but are not limited to...

  • Maintaining Festival Documentation (Key Milestones, Key Information Document, etc.) to assure accuracy, and updating accordingly.

  • Coordinating and maintaining the calendar for Director, Production & Operations to include generating meeting requests in Google Calendar across time zones, tracking agendas, and ensuring guest lists are accurate.

  • Facilitating logistics for Festival planning meetings, including working across departments to generate agendas, taking and distributing notes, and securing meeting space and schedule for onsite during the Festival.

  • Working within project management software to update and maintain timelines for all Operations departments.

  • Scheduling meetings with internal departments to review and update their needs related to Festival planning and operations.

  • Supporting Operations departments that require assistance as needed and available.

  • During the Festival, provide administrative and onsite support for Director, Production & Operations to address daily operational issues as they arise.

  • Completing and compiling Operations teams wrap report templates for SFF24 once Festival is complete.

  • Supporting in Festival reporting processes, including with the creation, testing, and implementation of a Daily Operations Report.

  • Supporting with drafting and issuing cross-departmental communications.

  • Providing support for events and additional special projects throughout the Festival season as needed.

     

You have the following direct or transferable skill sets:

  • Legal authorization to work in the United States.

  • Valid driver's license and successful completion of MVR background check.

``` - 2 years of experience with administrative project-based work for venue or live event operations, or related.

  • Outstanding verbal, written, and interpersonal communication skills to work effectively with a variety of people.

  • Excellent organizational skills including the ability to prioritize.

  • Strong attention to detail.

  • Ability to maintain confidential information.

  • Knowledge and experience with the Google Suite.
