Job Summary Reporting to the Associate Director for Immigration Advising and Operations, the Assistant Director for SEVIS Coordination and Reporting has the following primary responsibilities: Oversee I-20/DS-2019 issuance for all new confirmed international students and advise admission offices and academic departments on matters pertaining to the I-20/DS-2019 application process. Manage data for international students and scholars to ensure compliance with federal regulations associated with Student & Exchange Visitor Information System (SEVIS) and to provide statistical information for the University and related off campus entities. Generate large-scale reports for both internal and external use. Serve as the primary contact for I-20 issuance processes, data requests, and SEVIS coordination issues to undergraduate and graduate admission offices, academic units, AIS, Information Technology (IT). Maintain advising caseload as assigned by Associate Director for Immigration Advising and Operations. Serve as Tier 1 back-up to front desk and member of advising team on immigration matters, including travel, OPT, CPT, and Academic Training. Have in-office presence and regularly answer phone calls, maintain regular Virtual Advising Hours. Maintain knowledge of immigration regulations and updates. Due to U.S. Department of Homeland Security and Department of State Regulations, must be a U.S. citizen or a lawful permanent resident of the U.S. Essential Functions Advise international F-1 and J-1 students on immigration matters, including CPT, OPT, Academic Training, etc. Serve as member of advising team and Tier 1 back-up to front desk by answering phones, providing front desk support and triage as needed. Serve as a Designated School Official (DSO) for the F-1 student program and an Alternate Responsible Officer (ARO) for the J-1 Exchange Visitor Program. Remain informed of updates of all new DHS, USCIS, and SEVP regulations concerning international students and SEVIS releases. Coordinate all new student I-20/DS-2019 issuance operations in collaboration with Enrollment Management & Student Success (EMSS), including Academic Information & Systems (AIS), Enrollment Management, and other offices on campus. Manage all SEVIS reporting through batch processing in International Student and Scholar Management (ISSM), maintain student records and work with others in ISSS to evaluate the University's compliance level and ensure ongoing compliance. Oversee reporting and assignment of cases related to new international student document issuance, SEVIS registration, and under enrollment/withdrawals/dismissals. Follows reporting deadlines as outlined by federal regulations and escalates complex cases to advising team and leadership in a timely manner. Use SEVIS and ISSM to prepare and process immigration documents. Regularly monitor SEVIS alerts and actions and escalate records of concern to assigned advisors and or leadership as needed. Monitor SEVIS and ISSM errors. Maintain archival records of data needed for long-term reporting purposes. Work closely with AIS to develop and implement improved office workflow and student services to increase efficiency utilizing ISSM. Serve as primary ISSS representative for testing of ISSM/other databases. Regularly update the ISSS staff on SEVIS and Ellucian ISSM changes and other relevant information. Responsible for generation of large-scale reports for both international student and scholar population, including Open Doors reports, inter-office audits (phantoms reporting, CPT audits), internal reports (BBLearn registration lists, under enrollment, withdrawals, dismissals, etc.). Prepare reports on reporting schedule and on ad-hoc basis as needed/specified by upervisor. Train and consult with users regarding their interface. Work closely with IT and ISSS staff and troubleshoot  technical issues with support of AIS. Maintain integrity of data kept on international students in ISSM and Banner databases, and SEVIS. Conduct regular audits of data and oversee mass updates to student records (i.e. CIP code updates, program end dates, etc.). Manage ISSM, Banner, RightNow and Hyperion and any other software on behalf of ISSS. Maintain accurate electronic ISSS records to comply with regulatory reporting in SEVIS, for Open Doors, J-1 annual report, and related statistical reports. Develop, provide, and maintain content for the ISSS website and for informational materials such as pre-arrival information and procedural handouts. Serve as a valuable member of the ISSS team and support the Executive Director in development, implementation and assessment of ISSS strategy and operations with the goal of continual enhancement of service delivery. Create and maintain up-to-date policy/process manuals related to core Ellucian ISSM and SEVIS processing operations. Maintain active membership in appropriate professional organizations such as NAFSA: Association of International Educators and participate in professional development opportunities. Adhere to NAFSA's Statement of Ethical Principles. Participate in Enrollment Management & Student Success programs and activities. Perform other duties as assigned to support strategic plans for welcoming and supporting Drexel's international students and employees Required Qualifications Minimum of a Bachelor's degree or equivalent combination of education and work experience. (Please review the  Equivalency Chart for additional information.) Minimum of 3 years of experience working with international student advising and/or immigration matters. In-depth knowledge of Student & Exchange Visitor Information System (SEVIS). Excellent customer service, interpersonal, organizational, analytical and communication (oral and written) skills. Ability to identify priorities and meet deadlines. Strong knowledge and expertise of F-1 and J-1 immigration regulations. Ability to analyze complex immigration issues. Ability to extract and analyze data from various sources and synthesize and present findings articulately. Ability to build and sustain excellent relationships with internal and external stakeholders. Ability to multi-task in a fast-paced environment and to remain actively informed of ever-changing immigration policies that impact ISSS constituents. In-depth knowledge Microsoft Office suite, advanced working knowledge of Microsoft Excel. Preferred Qualifications Working knowledge Banner/Ellucian ISSM. Knowledge of Federal Education Rights and Privacy Act (FERPA) implications on advising. Experience working with SEVIS and advising university students on F-1 and J-1 regulatory immigration matters. Knowledge and expertise of other visa categories. Location Hybrid: Remote/University City, Philadelphia PA Additional Information This position is classified as Exempt, grade J. Compensation for this grade ranges from $47,490 - $71,2300 per year.
