Job Description Summary
The Clinic Manager for the Post-Graduate Periodontics Clinic will lead the clinic in a collaborative service-oriented environment in partnership with Clinic/Program Directors, Department Chair, and diverse Penn Dental Medicine stakeholders. This will entail management of clinic efficiency, productivity and patient satisfaction/engagement with a key focus on effective chair-side assistance, oversight of positive patient experiences, and efficient chair utilization. The individual should have effective conflict resolution skills, service-oriented behaviors, the ability to work in a cooperative manner with individuals within and outside the department to improve patient care, as well the capability to participate in quality assurance assessment for our patients, residents, students, faculty, and staff.
Develop, in conjunction with the Department Chair and Clinic/Program Directors, the standard operating plan manual (SOP) for the clinic in accordance with mandates, policies and guidelines to ensure the alignment of the practice with Penn Dental Medicine's strategic objectives. Metrics for success in the position will be based on alignments of financial performance, patient/student/customer satisfaction, clinic staff/provider productivity.
Job Description
MANAGEMENT & COMPLIANCE – 50%
Leads the overall operational management of the clinic including but not limited to patient registration/scheduling, clinical supplies, and inventory and that equipment is functioning as expected. Responsibilities include:
Demonstrates a commitment to PDM's core values. Ensures that the practice policies, procedures & processes comply with PDM protocols, state & federal law, regulations & accreditation guidelines. Consistently model University leadership behaviors.
Fosters strong relationships to ensure a commitment to productivity objectives, revisiting monthly forecasts and measuring actual productivity.
Develops, schedules & maintains operational calendar to foster alignment on key operating plans, practice management objectives and staffing. Coordinate effective and efficient Periodontic resident & student schedules in partnership with clinical faculty.
Prepare clinic flow statistics, identify opportunities for increasing clinic census, propose and design new policies/procedures, and ensure that policies & procedures are updated & adhered. Ensure patient & employee incident policies are adhered as well as health and safety training is provided to staff. Develops, implements, maintains, and monitors departmental policies and procedures which support streamlined, efficient operations.
Prepare agenda for monthly clinic meetings. Responds to and resolves patient complaints in partnership with Clinic Directors.
Cultivate and foster partnerships with vendors and suppliers of services; communicating requests as required for equipment/software maintenance, supplies, services of the clinic. Serve as point person in resolving clinic and equipment issues.
Participate in quality improvement & operational improvement initiatives. Represent the department on task forces, committees & advisory groups.
Hires, trains, supervises, evaluates, develops, counsels & performance manages clinic staff. Ensures the orientation of staff to role functions, policies, & procedures.
Coordinate patient assignments, case completion and patient outcomes. Takes an active role in the process of patient roster management together with clinic/program directors and in accordance with current PDM policies.
Work with the Program/Clinic Director and Department Chair to monitor resident activity and clinical education.
Understand the importance of customer service & sets an example of exemplary customer service.
Continuously build customer understanding by monitoring patient satisfaction performance and customer feedback, utilizing system generated data for continuous improvement.
FINANCIAL – 20%
Regularly review, interpret & utilize financial data including income statements & balance sheets to identify gaps/shortfalls and opportunities as well as focuses resources and efforts to ensure plan achievement.
Monitors, evaluates & justifies monthly budget expenditures & revenue. Participates in the identification, submission, and implementation of annual capital requests/projects. Assists with the annual budget preparation.
Ensure that patient charges & credits are processed timely. Ensures handling processes are followed & transactions reconciled.
Assist PDM’s Central Billing office as needed in follow-up appeals on claims and patient disputes. Monitors work queues as they relate to clinic operations.
REPORTING – 25%
Conduct audits and reports on all service lines to the Department Chair & Clinic Directors. Executes, reviews, and acts on a variety reports.
Establish, analyze, monitor & respond to reports related to productivity & quality standards of work of which simultaneously ensures residents, faculty, patients & staff needs are met.
OTHER DUTIES AS ASSIGNED – 5%
Qualifications
Bachelor's Degree with 2-3 years of related experience or equivalent combination of education and experience is required.
Previous budgeting and forecasting experience.
Ability to manage multiple priorities in a high-paced environment and provide supervision to various team members and stakeholders.
Strong accounting skills and knowledge of Penn's financial systems a plus.
Dental assistant experience and working in a clinic capacity to support operations is preferred.
Strong customer service experience required.
