Job Title: -- Service Coordinator – National Accounts

Job Summary: -- Maintain clear and ongoing communication with Customers, Technicians, and other employees related to all manners of the Service Operations and National Accounts, including, but not limited to, incoming service calls, scheduling technicians, purchase orders, quotes, follow-up work, and service history.

Essential Duties and Responsibilities:

Service Operations General Responsibilities:

  • Enter service calls and record all pertinent information relating to requests for service, including Customer and Site, Caller Name, Caller Phone Number, Problem Code, Description of Problem, and Maintenance Contract Number if applicable.

  • Ensure calls are scheduled and dispatched in accordance with company expectations for service call response time, maintenance contract obligations, and project work deadlines.

  • Review Previous Slips to ensure a duplicate call is not being entered and gain an awareness of other activity at the jobsite. Determine the priority level for the service request and confirm any special notes from the site file (site access information, special tools, safety concerns, etc.).

  • Dispatch technicians in a timely manner to minimize technician downtime.

  • Maintain daily and weekly schedules in CMS for technicians, keeping the dispatch board current, at all times.

  • Monitor all preventive maintenance agreements inspections to ensure inspections are being performed as per the maintenance agreement and in accordance with the allotted hours.

  • Verify technician’s time and cost code at the completion of each job.

  • Assist service technicians with repair quotes (i.e., parts availability, quotes to Customer, etc.).

  • Monitoring and control of two-man jobs, to ensure additional manpower is used when warranted.

  • Provide reports to the Service Supervisor weekly for open T&M, QJ’s and PM’s.

  • Perform emergency dispatch duties nights and weekends on rotating bases.

National Accounts Specific Responsibilities:

  • Assist in quote preparation by converting estimates into the National estimate sheet/template and prepare formal proposal to be submitted via Smartsheet and excel document.

  • Assist with new contract and Contract Change Directive (CCD) requests

  • Assist in project close outs ensuring all documents are provided and organized to each account’s specific closeout requirements.

  • Assist with Asset management approval and review: specific to account specification: Make, model, serial number, year, refrigerant type and tonnage.

  • Scheduling and overseeing subcontract work: No To Exceed updates, generation of Sub-Contract Purchase Orders, review and submission of local township and Nation Account for payment, initiate Quotes for additional repairs/installations.

  • Additional National Accounts duties as needed.

Qualifications: --

  • Three to five years’ experience dispatching for a Mechanical Contractor, preferred.

  • Understanding of standard Contract/Agreement language.

  • Three to Five years’ experience utilizing a Computer Maintenance System, Coins ERP+ preferred.

  • Strong computer proficiencies: Micro Office Suite 365 (Word, Excel, PowerPoint, Teams, Smartsheet, SharePoint).

  • Excels at working in a fast-paced team environment.

Standard Hours: Monday to Friday, 8:00 am to 5:00 pm.

Location: Northeast Philadelphia – In Office
