Overview
Rutgers University Behavioral Health Care (UBHC), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC's 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education. UBHC, one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school.Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.
Posting Summary
Rutgers The State University is seeking a Secretary II in the Call Center within Rutgers University Behavioral Healthcare.Under direction, the Secretary II provides a wide variety of secretarial, administrative and general office services to the Call Center program(s). Exercises professional judgment in performance of services and maintains a demeanor complimentary to the program(s).Among the key duties of this position are the following:
  • Provides secretarial assistance to staff members.
  • Completes appropriate internal paperwork (paper or electronic) required by Department, UBHC, and University.
  • Prepares documents with 90-95% accuracy within established guidelines as evidenced by feedback.
  • Ensures documents are completed in a timely manner and routed correctly as indicated by supervisory observation.
  • Performs typing assignments for Department.
  • Completes typing assignments with 90-95% accuracy as observed by the supervisor and indicated by feedback from staff.
  • Submits typing assignments within pre-established time frames as noted by the supervisor and feedback from staff.

Qualifications

Minimum Education and Experience
  • Graduation from an accredited program in secretarial studies plus three (3) years of full-time secretarial experience required.
  • An additional year of experience is required in lieu of the secretarial program.
  • College credits may be substituted on a year-for-year basis for secretarial experience.
  • Up to sixty (60) credits may be substituted or two (2) years of secretarial experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Proficiency in typing and Microsoft Office (Word, PowerPoint and Excel) required.
Preferred Qualifications
  • Knowledge of PeopleSoft and procurement policies and procedures preferred.
  • Proficiency in Outlook preferred

Physical Demands and Work Environment
Physical Demands: Standing, sitting, walking, talking or hearing. No special vision requirements. Position requires standing to 1/3 of the time; requires walking under 1/3 time; requires sitting to 2/3 time, reach with hands and arms up to 2/3 time; climb or balance under 1/3 time, stoop, kneel, crouch, or crawl under 1/3 time, talk or hear over 2/3 time, requires lifting up to 10 pounds less than 1/3 time. May require sitting up for several hours in one place.
Work Environment: Moderate noise (examples: business office with computers and printers, light traffic). May be required to work evening and weekends at various locations depending on office needs.
