Reference #: 2022222 The Mellon College of Science (MCS) is home to four departments and many programs and research centers that cross disciplines. We approach scientific problems from fresh angles using creative interdisciplinary approaches while drawing on our departmental strengths in the core sciences. MCS faculty members are nationally and internationally recognized for their research in a variety of fields, including polymer science, cosmology, mathematical finance, and neuroscience.

We are searching for a Business Manager for the Department of Physics within MCS. This is a great opportunity for someone who thrives in an exciting and ambitious work environment. You will contribute to the department by providing vital support by providing significant individual discretion and judgement while conducting the management of a $10M portfolio of general ledger and grants management accounts. Core responsibilities include: Overall management and account analysis/monitoring for all Department of Physics accounts which include but are not limited to, the general operating, designated operating, sponsored projects, recharges, restricted and unrestricted accounts. Includes uploading budgets, monitoring all expenses, crafting monthly reports, providing projections, providing information to all stakeholders, and completing effort reporting at the end of each term for all applicable research groups and individuals. Answering questions related to all types of accounts. Inquire with funding agencies when unique situations arise. Prepares Fall and Spring Financial reviews. Oversight of all proposal submissions, spending and reporting submissions for the Department of Physics. Agencies include but are not limited to the NSF, NASA, DOE, STScI, NIST, ONR and Foundations. Making sure that all proposals are submitted in conformance with the agency solicitation and within the required software (Grants.gov, Research.gov, Fastlane, NSPIRES, etc.). Supervises the office staff by assigning tasks, monitoring workload, setting employee goals and merit review. Handles hiring in Workday, managing fixed term appointments, reappointments, merit review and related HR activities. Leads hiring for student employees and handle activity pay. Handles Workday approvals and troubleshoots workday issues/unique situations with College Workday Manager. Handle all payroll which includes monthly LD assignments and reviewing month end Oracle reports and clearing suspense reports. Working with Faculty Graduate Student Coordinator on assigning teaching assistants for each term. Completing effort reports for all applicable individuals and research groups. Review and approve all department purchasing which includes purchase orders, tartan trust purchases, and expense reports. Making sure that all expenses are within university and funding agencies policies. Approval of monthly journal entries for the Physics Storeroom which both GL and GM entries for off the shelf items and copy center charges. Manage facility related activities (office moves, renovations, work orders, etc.). Work with Campus Design and Facility Development (CDFD) on Physics lab renovations. Work with other university colleges and departments on joint faculty appointments, complex proposal submissions, and active research grants. Periodically serve as a representative for the college on university committees. Handle annual space and property audits.

Ability to interpret and apply laws, regulations, and policies as they relate to sponsored programs including federal, state, and local agency regulations/procedures, FAR, CAS, GAAP, and OMB Uniform Guidance governing research administration. Ability to be very detail oriented to comply with sponsor proposal requirements. Knowledge and skill with Oracle Self Service Applications (SSA) and Core Applications (Grants Management, Purchasing, Accounts Payable, Accounts Receivable) Demonstrate appropriate sensitivity to maintaining and safeguarding confidentiality. Ability to prioritize projects/tasks and meet deadlines, maintain accurate and detailed records, and maintain high levels of accuracy in all work produced. Excellent interpersonal skills and ability to properly interact with a diverse community of faculty and staff. Able to effectively communicate with external partners Qualifications: Bachelor's degree in business administration or equivalent experience required, Master's preferred. 5 - 8 years of demonstrated financial and management experience. Minimum of 3 years of experience with sponsored projects administration in an academic setting. Certified Research Administrator (CRA) preferred. Working familiarity with grants.gov, Fastlane, eRA Commons, and other electronic research administration tools highly desired. This is a full-time (37.5 hours/week), non-exempt position
