General Summary: Manages the day-to-day operations of the CCAC Educational Foundation.
Requirements: Bachelor's degree and a minimum of seven years related experience. Background in finance and accounting, budget management, nonprofit management, and database management. Excellent writing and editing skills. Raiser's Edge and Financial Edge database system proficiency preferred.
Duties:
Oversees business and finance operations at the foundation including daily gift processing logs; weekly and monthly bank and investment management reconciliation; monthly college reimbursement invoices; approvals of contracts, grant agreements, and insurance policies; liaises with bookkeeping and accounting staff in the CCAC Department of Finance.
Reviews, amends, denies or approves foundation-funded financial requests/documents including purchasing requisitions, vouchers, payroll authorizations, expense reports, and other project expenditures, in accordance with college and foundation regulations, procedures, and policies.
- Serves as the primary point of contact for the foundation's external banking and investment management firm(s), initiates and reviews all transactions to and from the foundation, reviews and coordinates regular transfers to and from investment management accounts.
- In coordination with foundation CEO and other team members, creates, modifies, and monitors budgets for all privately or corporately funded grants and projects at the foundation; works with CCAC Department of Finance to upload budgets into the college's budget management system. 5 Oversees the planning for foundation events, including budgeting, vendor contracts, logistics, and liaison work with the college President's Office, Department of Facilities Management, or other college offices.
- Prepares quarterly financial and budget reports for the foundation's Finance Committee and Board of Directors.
- Monitors and implements activities for all non-scholarship endowed funds in the foundation's endowment, approves awards for the foundation's student support funding programs.
- Serves as the primary contact with the foundation's audit firm for the annual audit for the foundation.
- Oversees management of the foundation's donor records and financial management database systems.
- Serves in the absence of the CEO of the Educational Foundation or as assigned, including participating in cabinet/leadership level and/or foundation board committee meetings and/or projects; assists the CEO in preparation and reporting for meetings; represents the CEO as assigned.
- Serves on appropriate College committees as a Foundation representative.
- Performs other duties as required or as assigned.
Clearances: Current criminal record/child abuse clearances will be required if offered the position and to be employed at the College. The three clearances are Pennsylvania Child Abuse History Clearance, Pennsylvania State Police Criminal Records Check, and Federal Bureau of Investigations (FBI) Criminal Background Check.
