Purchasing Administrator

 

Department employees are primarily remote / work-from-home. There are requirements to attend on campus quarterly staff meetings as well as occasional CFO division-wide meetings. This position is required to come to campus weekly to check the department mail and to retrieve and deposit any checks. Hours are flexible with a 7.5 hour day, start between 6:30 am and 9:00 am and end between 3:00 pm and 5:30 pm with one-hour lunch.

Job Summary

Prepares, reviews, calculates bills, and tracks purchase orders through the purchasing process utilizing the purchasing system. Prepares and files all purchasing related documentation. Prepares and completes reports and performs administrative functions.

Essential Functions * Administrative support for the Purchasing Services and Strategic Sourcing Department staffs and directors to include -managing incoming mail by weekly visits to campus, managing outgoing overnight envelopes, depositing and properly documenting checks, disposition and archiving of departmental files, making travel arrangements, project management, occasional ordering of office supplies for off-site employees and arranging occasional catering and meetings. * Create and manage various reports for supplier financial status * Point of contact for conference room reservations and in-room technology * Oversee contracts with Dun & Bradstreet for supplier reporting and CCH / Walters Kluwer for worker status / 20-Factor Test * Use and manage One Card for various orders and payments * Maintain list of departmental training * Maintain SharePoint site * An understanding of basic accounting, reading, verbal communication, and technical skills relating to software applications such as Microsoft Word, Excel, Teams, SharePoint, Access and Outlook.
