Robert Half Office Assistant- Accounts Payable in Portage, Wisconsin

Description

We are offering a contract employment opportunity for an Office Assistant- Accounts Payable role in our Portage, Wisconsin location. This role is integral to our operations, where you will work closely with the production plant and the office team to manage accounts payable, process production scheduling, and perform various administrative tasks.

Responsibilities:

• Assign, match, and code purchase orders with receiving documents and invoices efficiently.

• Process daily production scheduling and production runs based on weekly orders.

• Maintain and update accurate records in the JDE computer system.

• Communicate product needs for production runs and maintain appropriate inventories.

• Assist in answering phone calls and greeting customers, suppliers, and visitors.

• Prepare a variety of reports, correspondence and miscellaneous tasks from rough drafts or reports, ensuring timely completion and accuracy.

• Establish and maintain computerized records system for departmental records, files, and reports.

• Perform backup office responsibilities as needed.

• Use company computer systems to prepare monthly reports for month-end close.

• Purchase resale items and manage capital appropriation approvals for payment to vendors.

Requirements • Proficient in Accounting Software Systems

• Strong skills in Microsoft Excel

• Familiar with all Accounting Functions

• Experience with Accounts Payable (AP)

• Ability to perform Data Entry tasks with accuracy

• Experience in providing Administrative Assistance

• Knowledge of Purchase Orders management

• Ability to Code Invoices

• Experience in Answering Inbound Calls

• Strong organizational and time management skills

• Ability to work independently and as part of a team

• Excellent verbal and written communication skills

• High attention to detail and problem-solving skills

• Ability to handle confidential information

• High school diploma or equivalent, higher degree in related field is a plus.
