About the position

Job Appointment: Casual, Full Time. Appointment will end August 29, 2025. Possibility of an extension to position within Environment Education.

Work Schedule: Monday to Friday, 30 hours per week (6 hours per day), with occasional weekends.

Work Location: Fully Onsite. Employee will report to Rice School, 6433 NE Tillamook St, Portland, OR 97213 for in-person work. This position will also be required to travel to various locations for field work.

Benefit: This is a Seasonal/Casual classification, and employees in this classification serve at-will and do not accrue status in the class to which they have been appointed and have no appeal rights upon demotion, suspension or termination from employment. Community Service Aide II's do not accrue vacation or service credit.

Language Pay Premium Eligible: This position may be eligible for Language Pay Differential (https://www.portland.gov/bhr/class-comp/language-pay-differential-overview) for qualifying employees .

Position Summary

The YCC Office Assistant supports the efficient operation of the Youth Conservation Crew (YCC) program through organizational, administrative, and logistical assistance. This role will be responsible for managing equipment and supplies, coordinating communications and reports, supporting event planning, and maintaining accurate files and records. Additional responsibilities include providing in-field support, overseeing technology and recruitment efforts, and contributing to the development of program materials to ensure the success of YCC.

The Youth Conservation Crew Office Assistant will work on :

  • Organization & Inventory: Maintain and track YCC equipment, supplies, and storage areas.

  • Communication: Draft, edit, and send approved communications; support the creation of YCC reports.

  • Event & Program Support: Assist with YCC Saturday planning, including Smartsheet management, timesheet tracking, end of day work report, co-hosting professional development days and YCC Celebration.

  • File Management: Organize and archive YCC files and photos.

  • Technology Support: Track and troubleshoot YCC-related technology.

  • Scheduling & Recruitment: Schedule meetings with sponsors, assist in YCC and Environmental Education (EE) recruitment efforts, and support YCC staff hiring.

  • Calendar & Document Management: Update YCC and EE Outlook Calendars; assist with editing YCC print materials and program documents.

  • In-Field Support: Support summer staff onboarding and training, resupply materials, and substitute for crew leaders as needed.

  • EE Internship Support: Help update and edit EE Internship materials.

  • Additional Duties: Assist YCC staff and alumni, and perform other programmatic duties as assigned.

Stay Organized: Be comfortable handling administrative tasks, such as managing equipment, coordinating schedules, editing training materials and field manuals, and maintaining accurate files.

Use Technology Effectively: Be proficient with Microsoft Office (Outlook, Excel, Word, Teams, OneDrive), Adobe PDF, and other online tools.

Be Flexible and Team-Oriented: Be willing to assist with event planning, staff training, and in-field support when needed.

The following minimum qualifications are required for this position:

  • Ability to promote equity, diversity, inclusion and provide culturally responsive leadership within the program.

  • Experience working with diverse youth aged 14–19 in programs focused on nature, the outdoors, conservation, environmental education, and/or outdoor education.

  • Experience in youth programming and/or conservation work in a leadership position.

  • Experience working in an administrative position supporting field-based programming in nature and/or conservation.

  • Experience with Microsoft Office (Outlook, Excel, Word, Teams), Adobe PDF, and various web-based programs.

Applicants must also possess:

  • Valid First Aid/CPR certification (or ability to become certified within two months of hire).

    Although not required, you may have one or more of the following:

  • Degree in Administration, Environmental Education, Outdoor Education, Recreation Management
