Office Manager/Student Success Manager (MTC) needed at BYU Provo campus. Job ID- 132356 Full/Part Time- Full-Time Regular/Temporary- Regular Staff and Administrative Job Summary As Secretary/Office Manager of MTC Dining Services, Incumbent's primary responsibility is to assist the 12 Full Time Staff Supervisors and 5 Administrative employees in handling the day-to-day operations of MTC Dining Services. Incumbent does this by maintaining the MTC Dining Office which coordinates employee records, scheduling, Catering orders and all billing, student employee benefits and hiring and scheduling for the part-time positions for MTC Dining. In addition, the Incumbent will oversee and manage online training, and any special needs of employees of the MTC Dining. This position is the Employee Success Manager, chairing and mentoring a committee of 6 as they seek to Strengthen the Student Experience and bring a sense of respect and belonging to all staff individuals through activities, inclusive conversation and messaging, and one-on-one recognition and support. Essential Functions -Office Supervisor -Office 6 Direct Reports (student) that handle many various office responsibilities. Frequent assistance to other students in MTC Dining, approximately 250 + students. Helps with common staff questions, employee meal credit issues, payroll questions, uniform deposits and distribution, student compliance issues, employee locker distribution, certifications and training documentation, employee access, etc. 20-25 In-Direct Reports (student) that are Student Managers and Lead Trainers. Assist General Manager and AGM in setting up, scheduling staff and working special events -Y-Time Manager Handle all Y-Time responsibilities for 14-16 staff and 250 + student employees Monitor hours, correct exceptions-all missed punches Responsibility of managing and assisting labor cost Handles the vacation/sick time for the 14-16 MTC Dining staff positions Prepare financial reports -Office Supervisor for all MTC Dining (250+ students) Answering phones, filing, record keeping Coordinate with DESO to post all part-time jobs Ensure all students are hired under MTC dining code in a given semester Maintains records and wage history for employees (as this can vary widely between students) Maintain employee database of training and certificates Coordinates with DESO for all eForms, terminations, processing and job transfers for concurrent jobs from other departments Monitor Office Supplies and machines, order supplies/services Take minutes at staff meetings and management meetings -Cashiers Supervisor Hire and teach & train cashiers on POS register system (Infor). Request & Maintain register screens and buttons for all of MTC Dining Maintains that Cashiers and Managers are PCI Compliance trained Bill all special events by the end of each month that they occurred -Student Success Manager -Has direct responsibility over Student Success Committee/Staff. Ensure that every student on the staff has what they need to be a happy, engaged and productive member of the MTC Dining team. Provide opportunities to ensure that all individuals feel a sense of respect and belonging Help resolve any challenges at work for MTC Dining Navigate through the questions and assist others to find job satisfaction and professional development in MTC Dining Ensure that high standards of customer service are set and adhered to consistently -Monitor food preparation and food safety Ensure that crews are following all necessary safety procedures to protect crew, customer and operations -Training student employees Know systems and procedures Set example to crews by doing things correctly and not taking shortcuts Thoroughly train all students on expectations Make recommendations on adjusting schedule as needed and train crews when the Full-time staff, Student Managers & student success supervisors are unable or need assistance -Create a positive atmosphe e for MTC Dining Be positive and provide consistent positive feedback to crews When coaching or disciplinary action is necessary, try to do it in a positive way and help individuals see opportunities for improvement Communicate well with employees and help them to feel like they are part of a team Be open and honest with staff -Conduct regular Student Success Students meetings As needed, prepare & provide training meetings Plan activities that support the students and with our values, aims and 7 pillars of becoming BYU as a guide Council on individuals that might be needing added support and inform GM and AGM. - Work rotating weekend shift if needed -Other special assignments as assigned by MTC Dining Administrative Managers -Special Orders -Oversees all special orders that come in through MTC departments and Ecclesiastics. -Customer interaction with all groups/special events -Supervise and ensure all product has been received adequately. -Meetings -Attends and participates in regular staff meetings MTC Dining Full-Time Managers (currently held every other week) -Attends and participates in regular MTC Dining Management meetings (these meetings include all Full-Time and Administrative Employees) (currently held every other week) Education/Experience Minimum education/experience required: -High School Diploma or GED -1 Year Office Experience Preferred: -Bachelor's degree -2 Years Secretarial Experience -1 Year Food management/supervisory experience Skills, abilities, knowledge, licenses, certifications: -Minimum Required: -Must be competent with MS Excel -Understands basics of table properties/spreadsheets, basic formulas, cell formatting -Must be competent with MS Word or other equivalent word processing application -Minimum typing speed 50 WPM -Understanding of mail merge preferred -Solid understanding of current grammar rules and punctuation rules in order to be able to write professional memos to MTC Dining employees and associates. -Must be competent with MS Outlook or other equivalent scheduling/task application -Schedule and modify appointments -Maintain multiple distribution lists -Excellent handwriting and written skills -Incumbent must be highly personable and able to work in high stress environment with constant interruptions. It is important that the incumbent can make student employees feel welcome and comfortable to come into the office seeking assistance even when the incumbent is juggling many other projects at the same time. -Solid understanding of Outlook specific tools is preferred: categories, follow up flags, importance classifications, rules, out of office assistant, etc -Preferred: -2 years knowledge within MS Office applications.
