General Responsibilities

The Internal Audit Administrative Assistant will report to the Internal Audit Director. Provide administrative support to ensure efficient operation of the office. Support the Internal Audit Director, managers, and employees through a variety of administrative tasks related to organization, coordination, budget analyses, monitoring of different audit components, assist with the vendor management process, and communications in general. This position will have access to confidential and sensitive information, and therefore, is expected to adhere to the highest ethical and professional values. Finally, the Administrative Assistant must be able to handle multiple tasks at the same time and deliver a work product of high quality.


•Handle sensitive information in a confidential manner.
•Develop and maintain/update administrative tasks tools to manage the division in an efficient and effective manner.
•Implement clerical duties and administrative processes.
•Develop and maintain an electronic filing system.
•Assist with the vendor management process, including the creation of requisition and PO, completing and/or obtaining required documentations and approvals as part of the onboarding process, amendment, extensions, or renovations to existing agreements. Additionally, the administrative assistant will be responsible for requesting monthly the following information from vendors: estimated accruals by the end of month, and invoices for services rendered. The assistant will also be responsible for the timely processing of invoices (obtaining the required approvals within the IA division and submitting the invoice and approvals for processing on a timely basis. This person is responsible for maintaining accurate records of the invoices and payments, as well as assisting the Director and Managers with monthly budget vs. actual analyses.
•Assist the Director and Manager to monitor the progress of the different audits, and to prepare monthly budget vs. actual analyses of the time incurred for each project by the internal resources.
•Take accurate minutes of meetings when asked to participate.
•Assist the Internal Audit Director with the expense reimbursement process (submit and reconcile expense reports on a timely manner).
•Assist with the coordination of travels (airfare booking, ground transportation, and hotel reservation) for senior members of staff.
•Coordinate and schedule events, meetings, and training sessions for the team's members.
•Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
•Assist with the drafting of letters, emails, reports, and other materials, as needed.
•Greet and assist new team members and visitors to our division/office.
•Coordinate repairs and maintenance of office space, equipment, and systems, and order office supplies/equipment when needed.
•Assist the Internal Audit Director and Managers with any other tasks requiring administrative assistance, such as sending follow-up emails, generate reports, put together tracking tools, analyses or presentations, assist with the management of the issue log, assist with external auditors' requests).
 

 

Performs duties through methods and actions that are consistently ethical and in total compliance with the laws, applicable regulations, Code of Ethics, corporate policies and guidelines and rules of conduct. Completes corporate trainings and certifications intended for the detection and prevention of money laundering related activities and fraud, insider training and conflict of interest policies and procedures, as applicable.

 

Education and Experience Required

Education
Bachelor's degree in business administration, Secretarial Science, or related areas, from four-year college or university.
Experience
Minimum of four (4) year of equivalent work experience, preferably with prior experience on the audit field.
 

 

Knowledge and Skills Required

Bilingual (English & Spanish) (required)
Proficient level in the use of Microsoft Word, Excel, PowerPoint (required)
Proficient level in the use of PowerBI (preferred)
 

 

Additional Information

9:00am - 6:00pm  

Available to work extended hours, weekends and/or holidays as needed and the availability to travel as required supporting projects in the region.
