JCTM LLC Executive Assistant in Quantico, Virginia

The Challenge : The Marine Corps Systems Command (MCSC) is responsible for planning, coordinating, and executing comprehensive acquisition strategies, policy development for the respective areas of interest and analysis of its program portfolio inclusive of product support for the United States Marine Corps (USMC) acquisition programs and fielded assets. Additionally, this comprehensive knowledge and experience in providing senior leadership and expertise, oversight, verification, validation, and evaluation support to ensure effective management support is critical. Challenging projects: The successful Executive Assistant on our team will provide high-level executive administrative support to the executive offices of the Commander, MCSC, Deputy to the Commander, Resource Management or Deputy to the Commander, Systems Engineering and Acquisition Logistics. You will conduct actions relating to the accomplishment, coordination, and disposition of substantive staff actions and assignments. You must possess a broad and extensive knowledge of MCSC organization, missions and functions, administrative procedures, Marine Corps organization, and military/civilian protocol. Additionally, you will:

  • Provide integration of staff actions to facilitate effective response of priority department taskings.

  • Provide administrative support such as: active calendar management, initiating and monitoring all schedule/meeting requests and prioritizing these requests in concert with the prescribed office.

  • Provide information in preparation of scheduled meetings.

  • Prepare official correspondence for senior executives.

  • Arrange conference calls, prepare travel arrangements and assure discreet handling of all business matters.

  • Demonstrate interpersonal skills and coordination experience.

  • Work well with all levels of internal management and staff, as well as outside clients and vendors.

    You Have:

  • SECRET Clearance

  • Bachelor's Degree

  • 4 - 6 years of experience providing executive administrative support within the government sector, particularly in military or defense-related environments

  • Experience effectively managing high-level executive offices

  • Ability to coordinate complex staff actions and manage substantive assignments that require meticulous attention to detail and adherence to strict deadlines

  • Ability to prepare official correspondence, reports, and presentations for senior leadership, ensuring compliance with military correspondence standards such as SECNAVINST M-5216.5

  • Experience handling sensitive information with discretion and integrity

  • Proficiency in organizing and facilitating high-level meetings and events, including scheduling, logistics coordination, and minute-taking.

  • Experience using Microsoft Outlook and Teams for calendar management and meeting coordination.

  • Experience in arranging travel and accommodations, proficient with the Defense Travel System (DTS), and knowledgeable about Joint Travel Regulations (JTR), ensuring all travel arrangements comply with governmental guidelines.

  • Strong interpersonal skills with a history of successfully interacting with and supporting a wide range of stakeholders, including internal management, staff, and external clients and vendors.

  • Highly skilled in using enterprise task management software solutions, SharePoint, and Microsoft Office Suite to enhance office productivity and communication.

  • Ability to apply discretion to sensitive topics.

    Clearance: Applicants selected will be subject to a security investigation and must meet eligibility requirements for access to classified information; U.S. SECRET clearance is required.
