About the role:

We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive, hands-on support to our CEO and senior leadership team as well as general office management at our Raleigh headquarters. In this role, you'll manage calendars, plan meetings that support our operational rhythm of business, coordinate travel, handle confidential information with precision, and partner with our leadership team to drive efficiency while contributing to our strategic goals.

Responsibilities

  • Manage and maintain senior staff calendars including: scheduling meetings, logistics, and preparing presentations with necessary slides, documents and agendas

  • Plan and arrange domestic and international travel, accommodations, and transportation for the senior staff and Board of Directors at Ndustrial

  • Collaborate with internal stakeholders to create, edit and review documents, presentations, and reports for accuracy and effectiveness for executive level audiences

  • Handle sensitive and confidential information with discretion

  • Work cross-functionally to coordinate and prioritize incoming requests, responding on behalf of senior staff as needed (including communications with our Board)

  • Develop a deep understanding of our business and key partnerships, offering crucial strategic support to our senior leadership team

  • Proactively identify opportunities that add value and improve communications, workflows, or internal processes

  • Manage senior staff expense reporting, submissions and budget tracking

  • Conduct research and compile data for presentations and reports

  • Act as the central point of contact for office logistics, managing inventory of office supplies, snacks, equipment, and facility needs daily

  • Act as a liaison with the building management on any office needs (e.g. carpet cleaning, light fixture replacement, office temperature, etc.) and perform regular rounds to ensure the office is in good working order.

  • Manage office vendors as required for basic upkeep and cleanliness of our headquarters workspace

Requirements

Requirements

  • Proven experience as an Executive Assistant or similar role supporting C-level executives

  • Excellent written and verbal communication skills

  • Ability to handle confidential and sensitive information with discretion

  • Proficiency working with Google Workspace

  • Detail-oriented with exceptional multitasking and prioritization abilities

  • Ability to work independently and collaboratively in a fast-paced, dynamic environment

  • Flexibility to adapt to changing priorities and deadlines

  • Proven ability of thriving in a fast-paced startup environment

  • Ability to work from our Raleigh HQ at least 3 days per week

  • Minimum of 4 years or more experience in a support or admin role
