Position Summary

West Marine Pro is seeking an Special Order Specialist who

The Special Order Specialist is responsible for purchasing products from a dedicated group of vendors with a rapid 24-48 hour turnaround time. This role requires strong communication skills and the ability to collaborate effectively through email, phone, and shared network drives to obtain pricing information and manage vendor interactions. Adaptability is key, as each vendor may have specific restrictions that must be followed. The Specialist will also use JDA to create SKUs and generate purchase orders, working directly with West Marine vendors. In addition, the role involves fielding inquiries from stores, West Marine Pro, and the sales team, ensuring smooth and timely order processing. Key Responsibilities:

  • Create and manage SKUs manually using JDA software.

  • Navigate vendor-specific restrictions while processing orders.

  • Obtain pricing through vendor price files, phone calls, or emails.

  • Handle complex orders manually and ensure accuracy in execution.

  • Monitor pending purchase orders (POs) and take appropriate action to prevent cancellations by coordinating with vendors, sales representatives, and the contact center.

  • Enter and track PO expected ship dates in Salesforce reports.

  • Provide exceptional customer service by assisting Stores, West Marine Pro, Direct Sales, and Vendors with daily inquiries and support.

  • Collaborate with the merchandising team to update and adjust cost changes within JDA.

Education, Experience & Skills:

Minimum education required/preferred, area of study:

  • Minimum High School or GED or related work experience.

Minimum years of relevant experience required/preferred:

  • 3+ years related work experience preferred.

  • Knowledge of marine products and the marine industry preferred.

Additional skills/knowledge required

include:

  • Excellent communication, organizational and customer service skills

  • Sense of urgency and ability to prioritize

  • Computer literate, including Microsoft Office, Excel, Word

  • Knowledge of Salesforce is a plus
