THIS IS AN ON-CALL, part time hours position based on project needs.
This position is remote in the DMV metro area. This position requires travel to client offices, and to ICF offices in the DMV metro area.
ICF is seeking an Operations Administrative Specialist to join our Grants Financial Management (GFM) team. The Operations Administrative Specialist will provide administrative support across various projects, ensuring smooth and efficient operations. The Operations Administrative Specialist will use their expertise to support processes related to staff hiring, clearances, orientation, training, continuous quality improvement, and reporting needs across projects. The Operations Administrative Specialist will work closely with project directors and be under the oversight of our GFM Operations Manager. The work requires collaboration with a variety of clients and project points of contact. The candidate must plan and carry out concurrent activities that will ensure a timely and orderly performance of tasks, and must display decisiveness, diplomacy, and sound judgment in resolving difficult problems in work assignments, which are often of a complex and sensitive nature. The candidate must be able to multi-task, and display sensitivity to the confidential nature of federal client work and of communications between ICF and our clients.
This position requires an active Public Trust security clearance with the Office of Justice Programs (OJP).
THIS IS AN ON-CALL, part time hours position based on project needs.
Key Responsibilities:
Provide administrative support to ensure the effective and efficient delivery of project deliverables across project teams.
Perform a variety of administrative tasks, including creating documents and presentation materials, performing data entry, and file management and organization.
Maintaining and updating project Standard Operating Procedures and templates.
Monitoring email inboxes, providing information and assistance as required, and redirecting requests to the appropriate staff member.
Initiating and tracking financial, procurement, equipment, and contracting requests.
Assisting with events such as handling invitations and registrations.
Supporting data calls to provide clients with information, updates and other external reporting.
Logistical support (booking travel, developing itineraries etc.)
Meeting coordination and support, including drafting agendas and minutes, as needed.
Basic Qualifications:
Bachelor's degree from an accredited institution.
3+ years in coordinating complex projects.
US citizenship required by federal government contract.
This position requires a Public Trust security clearance. Applicants will be subject to a government security investigation to obtain clearance prior to the start date.
Additional Skills We Expect You to Have
Prior experience working with grants management programs.
Working knowledge of effective provisions of Training and Technical Assistance programs.
Experience using Microsoft Office Suite applications like Word, Excel, PowerPoint, and Outlook.
Ability to work in a fast-paced environment on multiple projects and tasks.
Ability to work in a government consulting environment and with various levels of internal staff, clients, grantees, and vendors.
Preferred Qualifications
Experience with remote and web-based meeting and knowledge sharing platforms.
Experience with meeting and conference logistics.
Prior experience working with justice organizations.

Ability to create and manage timelines and collaborate with other team members to complete project deliverables.

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.
The pay range for this position based on full-time employment is:
$37,831.00 - $64,313.00
