JOB SUMMARY: Provides administrative support to Emergency Preparedness and Response division to ensure effective, efficient, and productive workflow. Participates in planning of programs, grant deliverables, accounting, and policies or objectives for Fort Bend County Health and Human Services Department in the emergency preparedness and response division. DUTIES and RESPONSIBILITIES: Provides administrative and clerical service and support to the department and Division. Conducts payment and proper documentation for grant purchases, purchase orders, and budget reviews with division manager. Process purchase orders, vendor payments, and reimbursements through county finance system (LAWSON, OnBase, and eCivis) while reconciling accounts. Follow up with the vendors, County's purchasing department. Provides customer service to the public; Answers questions, directs to proper area or person. Responsible for entering requisitions to obtain a purchase order when needed. Runs monthly reports required by the County Auditors office, as well as creates memos, reports and documents as needed for the department. Assists in developing the departments annual budget. Responsible for entering work orders when needed. Monitor, order and manage department supplies and equipment. Assist in coordinating and managing department schedules, calendars, and travel arrangements. Receive and process Pre placement Form, Employee Action Forms, Badge form requests, equipment request form. Participates in activities (essential employee status) and duties related to emergency management during a local state of disaster as directed by appropriate county managers. Other duties as assigned by division manager. REQUIREMENTS: High School Diploma/GED. 2 years college or technical training in public health, biology, microbiology, or allied health preferred. 3 years of job-related office/clerical experience. Excellent computer, data entry and typing skills; working knowledge of spreadsheet, word processing and database software. Excellent verbal and written communication skills, interpersonal skills, and the ability to deal effectively with others Ability to interpret policies and to implement procedures. Strong bookkeeping and accounting skills preferred. Organizational skills: ability to complete assigned tasks within tight deadlines and to prioritize own and others work. Maintaining confidentiality of business knowledge and employee information in the workplace. SALARY RANGE: $17.60 - $22.00 hourly based on qualifications. All full-time and part-time employees are members of the Texas County District Retirement System (TCDRS). Full-time employees also enjoy a wide-range of great benefits.
