The University of Minnesota School of Nursing Rochester campus Executive Office and Administrative Specialist position provides administrative and academic coordinating functions and support to administration, faculty, adjunct/associate faculty, staff, and students located at the School of Nursing (SoN) Rochester campus. The Specialist also coordinates activities and maintains positive professional working relationships with UMR administration, staff, and faculty, and may support other U MN Twin Cities programs as contracted by the SON. The Specialist is often the first point of connection with members of the Rochester community to the SoN. The role requires a positive 'can do' attitude, the ability to solve complex problems in coordination with the Twin Cities campus, and excellent community building skills. Report Structure The SoN Rochester Executive Office and Administrative Specialist reports to the SoN Rochester Executive Office and Administrative Specialist, and immediate daily work direction is provided by the SoN Rochester Campus Coordinator and Associate Dean for Academic Programs. The Specialist may supervise student employees located on the Rochester campus. Responsibilities Provide support for all SoN faculty, staff, and SoN adjunct/affiliate faculty serving at the University of Minnesota School of Nursing Serve as the first contact for visitors, students, prospective students, UMR staff/faculty that come to the SoN office at UMR. (25%) Refer inquiries related to prospective students to the Office of Student and Career Advancement. Provide Administrative Support (35%) Engage in collaborative continuous quality/process improvement in all aspects of operations on Rochester campus. Supports new initiatives for UMR/SoN by providing administrative support as needed. Serves as HR liaison, assisting with I-9 verifications, badges, and equipment as needed for employees located in the SON office at UMR. Ensure a robust, accessible, organized professional electronic and paper (as appropriate) record & filing system in coordination with the single filing system of UMN SoN and accessible by appropriate SoN entities Manage or facilitate student and/or staff search processes, recruitment and hiring, and material and logistical support (e.g., student and non-student workers; SoN office students workers), and ensuring submission and signing of bi-weekly time sheets in compliance with SoN/UMN policies. In collaboration with SoN and UMR facilities management, plan and maintain functionality and updating of rooms, passwords, and equipment for the SoN office at UMR and UMR classrooms used by the SoN. Organize visits and hospitality for guest lecturers and other visitors. Proactively manage and maintain a respectful environment and relationships, and professional office environment on Rochester campus. Maintain and distribute parking validation cards. Participate in administrative planning and evaluation related to the functions and activities occurring onsite at UMR for the school of nursing. Rochester campus. (20%) Manage/prepare/update educational materials for courses. Manage and plan the schedule of rooms on UMR campus for relevant SoN committee and course offerings, orientations, clinical post conferences, and other events and communicate relevant meeting inform tion for the SoN Master calendar. Provide support for the Nursing Skills Lab in Rochester (15%) Assist, as requested, with inventory management, maintenance, and ordering and organizing of supplies. Coordinate with appropriate entity to ensure lab computers & IPads receive updates and maintenance. Other Duties as Assigned (5%) Manage time to accommodate other duties as requested/required in the role for the SoN. Manage time contracted with the University of Minnesota Occupational Therapy Program. About the Department All required qualifications must be included in the application materials Required Qualifications High School diploma/GED and four years administrative support experience, which must include two years general office experience. Training/education may be substituted for some of the years of experience. Previous customer service experience is required. Proficiency with computers and with the internet (including web based applications). Experience with Microsoft Office applications (including Excel and PowerPoint), with advanced level abilities and efficiency in Word. Excellent verbal and written communication skills. Experience handling confidential material. Excellent interpersonal skills, with the ability to interact professionally with a wide range of people (e.g., prospective students, faculty, and staff; cultural and ethnic diversity). Ability to prioritize and multi-task successfully in a complex, fast-paced environment that experiences peak and slow times. Ability to work both independently and as a team member.
