University of Rochester Application Administrator II in Rochester, New York

GENERAL PURPOSE:

The Application Administrator primary responsibility for establishing admissions data strategy, including building, and maintaining Slate, the Enrollment Management CRM system of record for new student matriculation, and managing all applications, cycle prep, forms, system feeds, fields and prompts to accurately reflect current academic programming offered, as well as deadlines for URSON with industry best practice. The Application Administrator regularly collaborates with relevant faculty and program coordinators/directors as well as departments of Admissions, Student Affairs, Marketing/Communications, Finance, Financial Aid, and ISO as needed to ensure that students have the best user experience throughout the enrollment process, and enrollment data is collected in a way which facilitates future analysis.

This position is directly responsible for enrollment pathways through CRM or other enrollment technologies employed at URSON, and has the authority to direct any support staff in relation to such activities.

RESPONSIBILITIES:

Technology Administration:

  • Plans strategically for the objectives and trends that support enrollment goals. Through systems development, workflow management, reporting, training, and supervision, deliver accurate and timely processing of application. Oversees and supports the development of technology projects. Provides recommendations to staff in the Department of College Enrollment on how to use technology to implement the Enrollment Strategies identified by the School of Nursing. Develops the vision and strategies to recruit and retain students using technology.

  • Ensures the accuracy of reports consisting of application and employee/vendor performance data. Develops an ongoing build and management plan for SLATE Technolutions CRM technology, and provides weekly, monthly, and year-end queries and reports on recruitment activity to the director and department faculty.

  • Integrates user interface systems with back-end databases using industry best practices for security, deployment, communication, efficiency, serialization and caching, etc.

Database Administration:

  • Establish database trainings for end-users and best practices for database organization, and interconnected functionality. Recommend updates to policy as able. Document systems, policies, procedures, and standards within Operations. Manage the performance of all system end users to ensure compliance to those procedures and standards. Update documentation as necessary to ensure currency and relevance. Define usage best practices of Admissions CRM Database. Establish standard end-user trainings by role and admission season, which can be administered and/or replicated by Operations Team, as needed.

  • Track and resolve database related incidents and requests, by reviewing service-related reports (e.g: database backups, maintenance, monitoring) on a daily basis to ensure service-related issues are identified and resolved.

  • Regularly maintains records through tasks such as decision release, record merging, and cloning.

  • Analyze and sustain capacity and performance requirements of the Database and consolidate and tune database for optimal efficiency.

Application Development and Management:

  • Build and maintain existing custom applications, or new module, specifications, as well as additional import application feeds desired by UR SON. Accurately outlining work task breakdowns for programming side of new projects. Create application pathways and additional features, such as custom portals, to enhance prospective student experience.

  • Conduct frequent “spot checks” of processed information and create and perform additional quality assurance procedures and reports for the department to ensure data accuracy and vendor throughput. Correct any issues through employee performance feedback. Manage and monitor bin progression and movement for holistic application review.

  • Actively manage, build data fields, and report/test on data throughout the admissions funnel for all designated programs using tools available, including Workday (UR Student), SONDB, Data Warehouse, and Cognos, and any integrated data management system implemented at URSON to ensure data integrity and accuracy.

  • Learn current database structure to recommend and lead changes or improvements of database which will facilitate data analytics, data feed integrity, and an efficient and easy user-experience (prospective students, and end users).

  • Develop and implement solutions to achieve those outcomes, and adapt/respond to issues/situations as necessary. Build the database to be flexible and user-friendly within admissions data management best practices.

  • Work closely with Director of Admissions and Enrollment Management, Registrar, Assistant Director(s) of Admissions, and Student Affairs Office to ensure data is available in an accurate, timely fashion to enable efficient file review, and matriculation for students as it pertains to the Slate system.

  • Maintain up to date- knowledge on education and industry trends in Slate CRM. Some travel to support industry best-practices, and database professional development. 1-2 weeks/year.

Strategic Enrollment Support + Reporting:

  • Collaborate with Admissions, IT, Marketing & Communications departments to formulate and implement strategic campaigns in support of new-student enrollment.

  • Assist with analysis of marketing analytics through PING, or other functionality to analyze ROI with data which exists in the CRM database.

  • Build and maintain data collection tools, such as surveys, attendance tracking, and interaction data to analyze, and report on ROI, of recruitment efforts.

  • Report on data to support solutions to desired future analyses, such strategic financial award/leveraging/discounting, and analysis of data fields and business process management for replicable, holistic admissions review.

Other duties as assigned

QUALIFICATIONS:

  • High School diploma and 3 years of related experience required

  • Bachelor’s degree preferred

  • Or an equivalent combination of education and experience required

  • Experience in higher education or healthcare field preferred

  • Experience with interface, networking, design, and relational database technologies preferred

  • Experience supporting Cloud and on premises applications preferred

  • Experience with multi-tier applications employing application and web servers preferred

  • Experience with project management from planning through implementation preferred

  • 3 - 4 years of experience in SLATE and admissions enrollment preferred

  • Experience and understanding of Slate (CRM), data analysis and data integrity, student information systems, and best practices preferred

  • Excellent verbal and written communications skills required

  • Ability to work both independently and as part of a team required

  • Ability to learn new technologies quickly and help team members embrace technology change preferred

  • Solid understanding of Web Server, App Server and/or Database interactivities preferred

  • Solid understanding of application infrastructure and architecture preferred

Pay Range

Pay Range: $63,815 - $95,723 Annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
