In support of Planned Parenthood of Central and Western New York (PPCWNY)’s mission, theDirector of Financehas responsibility for providing leadership and coordination of the organization’s financial operations. They also provide oversight of the financial management of grants.

Essential Functions

Financial Management & Reporting

  • In collaboration with the Vice President and Chief Financial Officer, develops the annual operating and capital budgets for diverse services in multiple sites including monthly variance reports and analysis; responsible for preparing forecasts on an as needed basis

  • Prepares and distributes timely, complete and accurate internal reports (monthly/annual financial statements and analyses) for budget center managers; external reports to funders, donors, Finance Committee, Board of Directors, government/legal contacts and other stakeholders as directed (e.g. Medicaid cost report, DOH reports, IRS filings, PPFA reports, etc.)

  • Works with the Senior Accountant to handle monthly ledger closing, including preparation of financial reports (P&L), reconciliation of all balance sheet accounts, and preparation of balance sheet; in conjunction with the Vice President and Chief Financial Officer, develops and prepares other monthly reports on an ongoing basis

  • Prepares and directs the year end general ledger closing activities including audit preparation and field work (compliance with Federal OMB Circular A-133, preparation/distribution of year end budget reports, accruals/encumbered budget calculations, etc.)

  • Prepares quarterly Planned Parenthood Federation reports (QAFR) on an accurate and timely basis and assists CFO with PPFA Annual Report (AAFR)

  • Responds to requests for other financial information as requested by users on an ad hoc basis

  • Assists the Vice President and Chief Financial Officer with other special projects as needed

  • Shows respect to all internal and external customers for differences in backgrounds, lifestyles, viewpoints and needs in areas such as race, gender, ethnicity, creed, sexual orientation and others

Team Management

  • Provides oversight and direction to the finance professionals who directly work in the areas of Accounts Payable, cash flow analysis, fixed assets, payroll, grant management and asset/liability management

  • Ensures the team delivers the highest standard of departmental, cross departmental and cross agency teamwork and customer service

  • Develops finance and accounting team goals that are fully aligned with the Agency’s goals

  • Provides coaching, guidance and support, and set professional development plans to assist employees in reaching their full potential through the performance management process

  • Supervises and writes annual performance evaluations for finance team professional

Financial Management

  • Directly handles cash management by analyzing areas for cost reduction, improved cash flow, and revenue enhancement; prepares monthly cash flow projections for Vice President/CFO’s review

  • In collaboration with the Vice President and Chief Financial Officer, prepares internal and external reports according to the designated schedules

  • Works with the Vice President and Chief Financial Officer to plan the annual department budget, monitor monthly expenditures, and needs of the finance department staff

  • Stays abreast of laws and regulations affecting funding and operations; ensures financial management is in compliance with Generally Accepted Accounting Principles (GAAP) and government funding regulations

  • Coordinates financial results with the Resource Development Department on a monthly basis to ensure proper recording of workplace (United Way) giving, non-government grants and other donations (bequests, etc.)

Grants Coordination Oversight

  • Collaborates with the Senior Accountant and/or acts as the primary financial liaison for grants including DOH, DSS, and RESTORE; works with program coordinators or managers responsible for grant administration

  • Collaborates with the Senior Accountant to monitor and/or provide guidance on activities of grant funded programs, investigate variances, identify and implement improvement opportunities, and report results to the responsible program coordinator/manager and Vice President and Chief Financial Officer on a monthly basis

  • Working in collaboration with the Senior Accountant, program coordinator/manager and Vice President and Chief Financial Officer, handles grant preparation, modification, reconciliation and reporting to grantor

  • Serves as Primary oversight for Grants Finance Manager and their work.

Other Accountability Activities

  • Provides counsel to budget managers on monitoring and assessing fiscal health of programs including development, implementation and evaluation of business opportunities for expanded services

  • Works with other departments to ensure that internal controls are in place to produce accurate financial records as well as other projects on an as needed basis

  • Ensures appropriate internal controls are in place to properly control and safeguard cash disbursements; closely monitors accounts and transactions critical to the integrity of the fund accounting system (inter-fund transfer accounts, funds balances, etc.)

  • Makes recommendations to Vice President and Chief Financial Officer to change or adopt new procedures

  • Completes annual cost reports and other required annual reports (Title X, CL-7, etc.) according to schedule

  • May participate in organization committee work, as appropriate (QA/QI, accreditation, Title X, etc.)

  • Participates in affiliate initiatives as required

  • Responsible to have a thorough and complete knowledge of all software that has an impact in the area of Financial Operations

Requirements

Applicants must possess the following qualifications(or equivalent combination of education and experience):

Education—

  • Bachelor’s degree in Accounting

  • CPA and MBA are highly desirable

Experience—

  • Minimum of 5 years’ experience in a financial management position to include a minimum of 3 years of supervisory experience

  • Healthcare and non-profit experience preferred

Knowledge, Skills, & Abilities:

  • Must possess strong analytical skills with demonstrated problem solving skills resulting in the solutions to technical problems

  • Advanced computer skills required including Microsoft Excel and Word

  • Skilled in the use of accounting software (preferably MIP/SAGE) and clinic management systems (e.g., Medical Management, NextGen, EPIC)

  • A demonstrated ability to make formal and informal presentations to a variety of audiences (e.g. Finance Committee, Board of Directors, funders) is essential

  • Must be able to work independently

  • Excellent communication skills (verbal and written) and the ability to work a flexible schedule and travel to multiple sites, as needed are required

Work Schedule This is a full-time, 40 hours a week, position; regular schedule will be Monday – Friday with occasional evenings and weekends.

Benefits & CompensationAt PPCWNY, we are committed to equitable compensation practices and transparency. In alignment with these efforts, the salary for this position ranges from $90,396.80 to $115,502.40/year. Actual compensation will be determined by experience and other factors permitted by law.
